Within the OECD's Executive Directorate (EXD), the Conference, Security and Infrastructure Service (EXD/CSI) is responsible in particular for the conference services, language services (interpretation and translation), safety and fire security of OECD staff, delegates and visitors and the management and operation of OECD buildings facilities in Paris and at OECD Centres abroad. Within EXD/CSI, the Translation Division (EXD/CSI/TRA) provides translations into official (French and English) and non-official languages for OECD official documents and publications and other language-related activities, such as terminology.

EXD/CSI/TRA is looking for a Translation Flows and Resource Manager to undertake a wide range of operational, organisational, terminological and administrative tasks for the Translation Flows and Resource Management Unit. The selected candidate will work under the direct supervision of the Head of Translation Flows and Resource Management Unit.

The Translation Flows and Resource Management Unit provides a continuous service from 8\:00 until 19\:00 and staff may be required to work within this timeframe.

Main Responsibilities

Co-ordination of translation flows and resources

  • Together with the relevant Desk Manager, act as focal point for client Directorates to plan translation needs, agree on priorities and provide advice on the translation process and the translation management tool.
  • In collaboration with the relevant Desk Manager, plan and estimate the resources needed for processing translation requests and determine the optimum combination of internal and/or external translators, revisers and post-editors to ensure compliance with deadlines and value for money.
  • Assign translation requests to the appropriate translators, revisers and post-editors after analysis of each text using advanced tools (number of words, expressions already available in translation memories, terminology) and monitor the progress on work performed by internal translators and external service providers.
  • Manage the full translation workflow, from the analysis and preparation of documents for translators through to the final delivery of completed translations to clients and the timely processing of purchase orders and payments in compliance with OECD procurement procedures.
  • Set up Studio projects for internal and external translators in Computer-assisted translation (CAT) tool and manage them through to ensuring the post translation workflow (TM management, documentary monitoring).
  • Provide internal support to colleagues on the use of the Division’s CAT tool and translation management tool, best practices and new software features.
  • Liaise with external translators, providing reference material, contractual and administrative information relative to translations (deadlines, special instructions, rates, etc.).
  • Proactively suggest tailored solutions in order to further optimise the translation flows and resource management.
  • Assist the Head of Translation Flows and Resource Management Unit as well as Desk Managers in the forward planning of the overall translation work.

General administration

  • Format and assemble translations in the corporate editing tool including texts, graphs and tables and ensure compliance with official formatting rules.
  • In conformity with OECD purchasing procedures, establish contracts for external translators, ensuring that prices remain within agreed contract thresholds and monitor invoices.
  • Liaise with the Central Management Unit concerning administrative and budgetary issues.
  • Provide back-up for colleagues in the Translation Flows and Resource Management Unit as needed.

Ideal Candidate Profile

Academic Background

•            A university degree in translation or in a related field.

Professional Background

•           At least three years’ of experience as a translation project co-ordinator.

•           Experience in translations workflow management, preferably in a translation agency, would be an advantage.

•         Very good knowledge of procurement rules and procedures, preferably those of an international organisation or similar institution.

•           Proven experience in communicating effectively with internal clients and external suppliers, with a high degree of discretion.

•           Experience working in a multicultural environment would be an advantage.

Tools

•         Proven experience working with the Microsoft Office Suite and ability to rapidly acquire proficiency in relevant software tools used in the Organisation, especially those related to editing and procurement.

•            Experience with SDL Trados Studio or any other CAT tool.

•            Back-end experience in translation workflow tools would be an advantage.

Languages

  • Fluency in one of the two OECD official languages (English and French) and a knowledge of, or a willingness to learn, the other.

Contract duration

  • Two-year fixed-term contract, with the possibility of renewal.
