To deliver standard business support processes for a specific professional area of work, to facilitate effective service delivery. Recommendation OF LIGHT STAFF REVIEW FOR 2022.

KEY ACCOUNTABILITIES (not all-inclusive)

Under the direct supervision of Finance and Admin Officer, the incumbent will perform the following duties: -

  • Receive, payment by cash, cheque , vouchers from customers and collection to agent as required
  • Conduct regular cash counts and ensure that cash book balances correspond to the cash amounts
  •  Check documents for validity, completeness and accuracy as well as line of approval before any payment
  • Record advance payments to staff members and suppliers and ensure timely follow up of advance settlements
  • Prepare weekly/bi-weekly cash and bank book exported data and submit the same together with the scanned vouchers to the field accountants complete and in time
  •  Assist and coordinate with Finance staff for cash flow planning and cash requirements
  • Coordinate and ensure timely bank funds transfer according to the cash requests from all respective units
  • Support the maintenance of Office Files, documents and records in accordance with established systems and processes so that information is current and readily available to staff
  • Undertake standard data entry tasks in accordance with defined systems, to ensure information is organized an readily available for the business team
  • Assist/the finance staff in withdrawing funds from the bank, prepare the necessary documentation for banking transactions ( deposit cash or cheque, collect monthly bank statements etc)
  • Assist the finance staff in all income tas affairs
  • Facilitate exchange of cash, distribution list updated and balance checked etc
  • If any requirement to handle respective field offices finance matters
  • Check for Petty cash voucher with correct charge codes and GL code
  • Perform any other relevant duties as requested by supervisor



Completion of secondary school education.



Four or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.


Knowledge & Skills

  • Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
  • Knowledge of work routines and methods in order to complete processes under minimal supervision.
  • Uses tact and courtesy to give and receive information to a wide range of individuals.
  • Ability to identify data discrepancies and rectify problems requiring attention.
  • Ability to offer guidance or basic on-the-job training to more junior staff.



General Service (Headquarters): Fluency (level C) in English language and language in use at the duty station and in the duty station’s language.
