The Danish Refugee Council (DRC) is a leading protection agency with a mandate is to promote and protect durable solutions to conflict and displacement affected populations on the basis of humanitarian principles and human rights. DRC is currently looking for a highly qualified IM Coordinator for Kyiv countruy office.

DRC has been operating in Ukraine since 2014, currently DRC employs over 250 staff in Ukraine and will continue significant scale-up in 2022 to implement emergency response in the Protection, Livelihoods, Shelter/NFIs and Humanitarian Disarmament and Peacebuilding (humanitarian mine action) sectors, using direct interventions, support to duty bearers and civil society organizations (CSOs), and partnerships with CSOs. DRC will continue and adapt its durable solutions portfolio to the evolving context. 

About the job:

Information Management Coordinator will be responsible for harmonization of the system of data collection, processing, analysis and dissemination across the DRC operations. This includes the provision of technical input and support on safe information management to field teams and other relevant units as requested/required. Produce high-quality IM products for reporting, advocacy and support to DRC’s internal monitoring and evaluation. The role will include managing DRC sharepoint cloud of the organization.

Your main responsibilities will be:

  • Establish Information Management system and develop forms, tools and databases for capturing, evaluating and improving information flow internally within the CO and with HQ as well as externally
  • Ensure consistent response from sectors/ units to requests for information
  • Explore innovative means for capturing and using data, storing information and documentation, and managing information
  • In collaboration with the MEAL department, design and maintain a web-based platform for capturing and sharing implementation data and information.
  • Ensure that all sources of verification are cross-examined prior to reporting
  • Supervise and build the capacity of database assistants in order to ensure that data is refined to meet high quality standards
  • Ensure timely and effective collection of data from data sources and identify appropriate data sources.
  • Managing power BI dashboards.
  • Mapping activities through GIS.
  • Ensure every programme has a documented engagement with beneficiaries in initial, mid-term and before closure of the project with learning points shared and actioned
  • Produce regular reports of CO activities (projects) progress including accurate data-analysis and gaps
  • Produce and update information products such as reports, charts, info-graphics and other visual materials in order to support and improve project implementation and reporting
  • Liaise and coordinate information exchange with OCHA Ukraine
  • Ensure the security of all shared information
  • Assess the database infrastructure to understand where all of the data is located, who has access to this data, the identity of data stakeholders, and other relevant information
  • Identify data protection safeguards aligned with GDPR compliance mechanisms (eg. Consent removal mechanism.
  • Assess and identify other risks in the process of conducting the assessment and implementation of information security.
  • Disseminate reports to clusters, donors and stakeholders as requested
  • Conduct data quality checks to the data/information periodically
  • Under the supervision of the MEAL Manager, establish Information/Database Management policies and procedures
  • Undertake any other tasks assigned by the line manager


To be successful in this role we expect you to have minimum 3-5 years' experience in a similar position in an international organisation/company, NGOs, or CSOs

Required experience and competencies:

  • Bachelor's degree preferably in information management, data management, information science or any other related fields
  • Experience in information security management and records management advisory
  • Knowledge and full conversance with main IM systems including MS Office, Outlook and digital tools such as MS SharePoint, KoBo etc
  • Advanced proficiency in English, excellent Ukrainian.

We offer

Contract: Until December 2022, with possibility of an extension, depending on funding and performance.

Salary at Band G non-managerial and conditions in accordance with Danish Refugee Council’s Terms of Employment for National Staff.

Duty station: Kyiv
