BACKGROUND AND PURPOSE OF THE ASSIGNMENT:

The World Food Programme (WFP) is the world's largest humanitarian agency, working towards achieving a world with zero hunger. Since the beginning of the Ukraine refugee crisis in February 2022, WFP set up operations in Moldova to assist in the refugee response. To respond to the deepening vulnerabilities of the crisis-affected populations and to strengthen the government shock-responsive capacity, WFP has drafted a Transitional Interim Country Strategic Plan (T-ICSP), which outlines the activities in the country for the next year (September 2022 – August 2023). To support the implementation of the T-ICSP, WFP Moldova is seeking to fill the position of Business Support Assistant to perform front office administrative support to the Country Director and the team as instructed.

 

KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):

  1. Support the Country Director with general administrative and support duties, as requested.
  2. Gather information with clear direction to support the drafting of documents and preparing reports by other staff.
  3. Respond to queries and escalate where appropriate, to provide a timely and accurate service to clients.
  4. Support processing and managing routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources.
  5. Provide revision and proof-reading services for standard documents, to contribute to the development of accurate documentation.
  6. Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function.
  7. Identify simple discrepancies in statistics and data, such as missing information, and report to senior staff in order to support clients to deliver their work.
  8. Take responsibility for data integrity to facilitate availability of availability of accurate information in corporate systems.
  9. Provide guidance on routine business support methods and practices to junior colleagues to ensure services are delivered consistently and to the required standards.
  10. Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff.
  11. Other duties as required.

 

QUALIFICATIONS & EXPERIENCE REQUIRED:

 

Education:

Completion of secondary school education

Experience:

Four or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.

Languages:

Working level in English, Romanian and Russian. Knowledge of a second UN language is a plus.

Knowledge & Skills:

    • Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
    • Knowledge of work routines and methods in order to complete processes under minimal supervision.
    • Use of tact and courtesy to give and receive information to a wide range of individuals.
    • Able to work effectively as part of a team.
    • Ability to identify data discrepancies and rectify problems requiring attention.
