The Secretariat of the WTO is seeking to fill the position of Team Leader, Print & Distribution Services in the Graphic & Event Design, Print & Distribution Section of the Language & Documentation Services Division.

This is an External Vacancy Notice open to external candidates and WTO staff. It is posted on the WTO internal as well as external career site. Eligible WTO staff on short-term, fixed-term or regular contracts and interns must apply through the Workday internal career site.

General Functions

Under the supervision of the Chief of Section in the Graphic & Event Design, Print & Distribution Section (GEDPD), the incumbent will have the primary responsibility for supervising and managing the Print & Distribution Services Team (PDS). PDS is responsible for printing and distributing official WTO documents, publications and visual content to promote the work of the Organization. The incumbent will perform the following functions: 

1.       Lead, plan, and manage the work of the PDS Team, including the publications stock, to ensure high quality services are delivered in an effective, efficient, and timely manner.

2.       Ensure skills of PDS staff are continuously developed through training or coaching. Manage staff and resources allocated to the PDS Unit.

3.       Establish and implement standards, policies, methodologies, and best practice for production and ensure governance processes are in place (e.g., internal user guides).

4.       Oversee and plan the regular maintenance of all production equipment (e.g., flatbed printer, cutting table, finishing equipment, black and white/colour digital printers etc.) and IT software to ensure that they are kept up-to-date and operational. Carry out service reviews with key suppliers on a regular basis. 

5.       Perform analysis and prepare regular statistics/reports on print and distribution services for Senior Management and the Committee for Budget and Finance.   

6.       Keep abreast of developments in relevant technologies and encourage PDS staff to actively participate in the use of new tools (e.g., MS Teams, Trello, joint inboxes for receiving requests).

7.       Evaluate, review, and implement process improvements and new product lines.

8.       Provide technical input and assist in the preparation of purchase requests/client terms of reference. Take the lead in the development of Requests for Proposal (RFPs) for the purchase of production equipment.

10.     Develop and foster networks with other International Organizations to encourage cross-organization partnerships to maximise use of domain-specific excellence (e.g., flatbed printing).

11.     Respond to requests from WTO staff, Members and organizations and individuals outside the WTO and represent the WTO on missions and at meetings.

12.       Participate in other Section activities, as needed.

REQUIRED QUALIFICATIONS

Education:

Advanced university degree (Master’s degree or equivalent degree) in business and/or operations management. Alternatively, a basic university degree in the aforementioned disciplines plus a qualification in this field recognized by a professional body that is equivalent to an advanced university degree.

Knowledge and Skills:

Technical skills:

Demonstrated team leadership experience.

Knowledge of business and/or operations management with experience in a production environment (e.g., print production, manufacturing or other).

General knowledge of office work, preparing summary records, statistics, and terms of reference.

Knowledge of project management tools (e.g., MS 365, Trello or equivalent) and/or customer relationship management (CRM) tools (e.g., Oracle).

Experience and interest in managing projects related to the production of publications and event material would be an advantage.

Experience overseeing the maintenance of various print and finishing machines and/or related IT software would be an advantage.

Behavioural skills:

Proven ability to supervise a group of people in their day-to-day work, to manage, motivate and lead a team; ability to think out of the box and stimulate continuous process improvement; excellent customer service skills, demonstrating a professional and interested attitude in taking care of clients; effective communication skills; ability to build relationships with diverse stakeholders in an international setting; ability to work under pressure, multitask and adhere to strict deadlines; ability to take initiative, cooperate with others and work independently or as part of a team; highly adaptable. 

Work Experience:

Minimum 3 years of relevant work experience, including at least 18 months of supervisory responsibilities.

Languages:

Excellent command of English, both oral and written (at a level corresponding or equivalent to a minimum of C1 according to the Common European Framework of Reference for Languages (CEFR)) and a good working knowledge of French (minimum B2 level according to the CEFR) are required. Knowledge of Spanish would be an asset.

Shortlisted candidates will be assessed on their language skills as part of the selection process.

For non-entry level positions, the position may be offered at a lower grade if the selected candidate does not fully meet all the required qualifications. 

The WTO may use various communication technologies such as video or teleconference for the assessment and evaluation of candidates. The recruitment process may also involve the use of various forms of testing, assessment centres, interviews and reference checks.

Candidates not selected whose performance in the selection process nevertheless shows them to be suitable for a similar position may be kept on a roster for up to 24 months, and may subsequently be called upon as and when the need arises for additional resources.
