KEY ACCOUNTABILITIES (not all-inclusive)

Under the direct supervision of Logistics Assistant and the overall supervision by the Head of Field Office in Kayah Emergency Response, the incumbent will perform the following duties: - 

  • Receive all the WFP food and non-food commodities; 
  • Effectively receive/dispatch commodities including transhipment (truck to truck) against official approved documentation (e.g. waybills and/or delivery notes) ensuring accuracy in physical count of commodities including the quality in compliance with the established standards. 
  • Prepare, verify and sign off warehouse and transport documents, and maintain confidential files and accurate warehouse transaction records to ensure immediate reporting on commodity movements in line with the corporate requirements.
  • Monitor condition of the warehouse and commodities and take appropriate actions, to support efficient warehouse space-planning and well-organized commodity storage following WFP warehouse standards.
  • Provide guidance and on-the-job training to warehouse staff to contribute to their development and high performance.
  • Report on the quality, quantity of the received commodities and ensure that quantities dispatched as per consignor’s documents match with quantities received and endorse documents; 
  • Maintain clean and pest-free storing conditions; 
  • Ensure good warehousing practices; 
  • Supervise the off-loading and stacking of the commodities, follow up tracking of the commodities in pipeline and report the same to the appropriate personnel; 
  • Maintain records and/or ensure that assistants assigned to the various stores keep records of the food stuff offloaded/loaded at the warehouses, adhering to the WFP systems; 
  • Control incoming goods both food and non-food commodities by such methods as physical counts, random weight checks, rejection of any spoiled commodity, reconditioning of underweight bags, etc.; 
  • Sign waybills of received and dispatched cargo; 
  • Deliver goods on request against official and approved documentation; 
  • Keep updated records on stack cards, stock ledger and/or computer inventory lists; 
  • Make periodic physical inventory checks; 
  • Liaise with field monitors and others on matters pertaining to logistics;
  • Report on and, in consultation with others, take appropriate action for the disposal of spoilt commodities; 
  • Supervise the Labors, transporters and labors management etc.;
  • To operate Logistics LESS Online system for warehouse activities. (For food receiving, dispatching, handover to CPs and, etc.)
  • Ensure prevention measure of COVID-19 at the warehouses such as (washing hand and social distance;
  • Perform other related duties as required

STANDARD MINIMUM QUALIFICATIONS

Education

Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.

 

Experience

Four or more years of progressively responsible work experience in the relative business stream.

 

Knowledge & Skills

  • Experience using logistics databases to extract routine reports.
  • Experience in managing warehouses with food and NFIs.
  • Experience in managing inventories.
  • Experience in processing invoices.

 

Language

General Service (Headquarters): Fluency (level C) in English language and language in use at the duty station and in the duty station’s language.
