KEY ACCOUNTABILITIES (not all-inclusive)

 

Under the direct supervision of Administration Assistant, the incumbent will perform the following duties: -

 

  • Gather information with clear direction to support the drafting of documents and preparing reports by other staff.
  • Response to queries and escalate where appropriate, in order to provide a timely and accurate service to clients.
  • Support processing and managing routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources.
  • Take responsibility for data integrity to facilitate availability of accurate information in corporate systems.
  • Maintain a selected number for administrative control records, such as for travel, inventory and other commitments and expenditures.
  • Assist in the preparation of periodic reports including forms, tables, charts and other.
  • Draft correspondence relating to the area of responsibility.
  • Perform as a travel focal in Country Office by creating trip document and air ticketing for staff duty travel. This including making reservation for tickets, ensuring that tickets are collected and given to the passenger in good time, and all travel arrangement are in accordance with the WFP travel guidance.

  • Liaise with travel agents and ensure that the office gets the good service and price for all travel.
  • Arrange hotel accommodation reservation for staff duty travel and provide admin support in events/ meetings.
  • Review and check Field office staff travel documents before forwarding to approval request and payment process to Finance.
  • Act as one of focal persons for Non-Food Item, Procurement requests from Country Office; processing ordered meet as per Purchase Order or contract.
  • Receiving, labelling inventory items and assist to asset focal point when annual physical count.
  • Provide guidance on routine business support methods and practices to junior colleagues to ensure services are delivered consistently and to the required standards.
  • Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff.
  • Perform other related duties as assigned.

STANDARD MINIMUM QUALIFICATIONS

 

Education

 

Bachelor degree is desirable. Completion of secondary school education or  post-secondary certificate in the related functional area are also encouraged to apply.

 

Experience

 

Four or more years of progressively responsible work experience in the relative business stream with experience in general administrative work. 

 

Knowledge & Skills

 

  • Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
  • Knowledge of work routines and methods in order to complete processes under minimal supervision.
  • Uses tact and courtesy to give and receive information to a wide range of individuals.
  • Ability to identify data discrepancies and rectify problems requiring attention.
  • Has supported in providing ad-hoc guidance to new staff member.

 

Language

 

Fluency in English language (level C) or intermediate knowledge (level B).
