The Employment, Labour and Social Affairs Directorate (ELS) is recruiting an experienced Publications and Communications Co-ordinator to work in the Communications unit. The selected candidate will be responsible for supporting publication and documentation activities in the Directorate within the frame of the Organisation’s overall publishing policy and communications strategy.

Main Responsibilities

Communications co-ordination

  • Provide support in the implementation of the ELSAC communications strategy.
  • Attend weekly meetings with ELS’s Head of Communications to discuss communication priorities and share ideas on publications and communication at large.
  • Keep up-to-date with the planning of publications and events, maintaining the ELS and the Public Affairs and Communications Directorate (PAC) communications calendars.
  • When required, represent ELS at Senior Communication Board meetings relating to publications and documentation.
  • Participate in the drafting of guidelines and checklists, aiming to improve the communication skills of staff throughout the Directorate (e.g. working paper guidelines, tips for O.N.E Author, the ELS publication process, etc).
  • Assist updating the communications section of ELS’s eShare Knowledge Centre.
  • Ensure communications checklists are available on eShare for staff to consult.
  • If needed, assist the Communications Manager to maintain and update the ELS web pages, including publication pages, in consultation with the ELS web editors.
  • Assist the Communications Manager in extracting key messages and charts from reports for promotion via social media

Publications co-ordination

  • Co-ordinate editorial and technical matters relating to publications; oversee the publications workflow from receipt of the draft text through to the printing process.
  • Co-ordinate the selection of cover images; work with designers in line with the requirements of OECD’s visual identity.
  • Carry out editorial checks in line with the OECD publishing guidelines and OECD Style Guide.
  • Provide technical support to authors and assistants working on publications and documents. Organise workshops to present any new communication tools available that assist with the production of publications and documents (O.N.E Author, eShare, OECD.Graph).
  • Advise authors on issues concerning the publications process, including translations, printing, cover images, and questions on copyright.

Documentation and promotional material

  • Provide guidance to authors and meeting organisers, selecting the appropriate promotional documentation for their events and publication launches.
  • Prepare documentation, flyers, brochures and infographics, extracting key messages from reports and redrafting information in a style that is non-technical, clear and appropriate for the audience.
  • Liaise with external graphic designers, preparing design briefs, overseeing the page layout and corrections and ensuring the OECD branding guidelines are followed. Ensure timely delivery of the printed documentation.

Ideal Candidate Profile

Academic Background\:

  • A post-secondary qualification in a relevant area such as communication, editing, multimedia or similar.

Professional Background\:

  • At least three years of professional experience in publications and communications.
  • Good knowledge of the rules and procedures of the OECD or of another international organisation, in particular with respect to the publication process.
  • Ability to prioritise, work well under pressure and capably handle/juggle multiple tasks within tight deadlines.
  • Experience working with cross-functional teams.
  • Proven ability to rapidly master new IT and communications technologies.

Tools\:

  • High level of competence in Word and Excel, particularly when dealing with complex multi-chapter documents including charts and tables.
  • Experience with O.N.E Author and OECD.Graph would be a definite advantage.
  • Comptetence in Adobe design suite for the production of cover images, booklets, flyers and posters.
  • Experience with IT collaborative platforms (e.g. Teams, e-share) would be an advantage.

Languages\:

  • Working knowledge of both OECD official languages (English and French) would be an asset.  Knowledge of other languages would be an asset.

Contract Duration

  • 13-month fixed term appointment, with the possibility of renewal.

Selection Process

For retained candidates, written tests/video-recorded interviews are foreseen end of September 2022 and panel interviews are planned for middle of October 2022.
