The Statistics and Data Directorate (SDD) is the focal point for the OECD’s cutting-edge work on statistics and data, providing evidence on a comparable basis and from a variety of sources to analysts, policy makers, and members of civil society. SDD develops new metrics and innovative digital tools to address emerging policy issues, leads the development of international statistical standards, advances statistical methodology, and co-ordinates statistical and data-related activities within the Organisation and with other International Organisations.  SDD is looking for a motivated and experienced Assistant to join the Director’s Office working in close collaboration with the the Director’s Office Co-ordinator and the Executive Secretary of the Committee on Statistics and Statistical Policy (CSSP). The successful candidate will be expected to deliver a wide range of committee-related, communication and administrative tasks, and may also be involved in global relations work.

Main Responsibilities

Administrative support to the Director’s Office

  • Work in collaboration with the Director’s Office Co-ordinator to provide proactive administrative support to the Director and Deputy Director, including the organisation of missions and meetings, and management of electronic calendars, appointments and correspondence (in English and in French).
  • Provide high quality, timely personal assistance to the Deputy Director and replace the Personal Assistant of the Director when required.
  • Assist in assessing, prioritising and filtering communication arriving in the Director’s office, taking the relevant follow-up action, respecting deadlines and ensuring efficient communication at all times between the Director, the Deputy Director, and the Director’s Officer Co-ordinator.
  • Provide assistance to the Communication and Global relations units as needed. This may include providing support on a range of communication-related tasks, and/or providing support to the Global Relations team on the organisation of meetings and preparation of documents.

Committee organisation and information management

  • Provide high-level administrative and logistical support to ensure the smooth-running of the annual meetings of the CSSP and the UNECE Conference of European Statisticians which take place in Paris or in Geneva, often in a hybrid format, and other meetings as required. This includes the preparation, reproduction and dissemination of documents, missions, social events, setup of the meeting venue (physical or virtual), and onsite management.
  • Take charge of the development and maintenance of CSSP’s O.N.E Communities site and assist with the management of the Director’s Office e-share site to ensure that all relevant documents and correspondence are filed.
  • Prepare documents and publications using O.N.E. Author for dissemination on O.N.E. Members and Partners, and arrange for translation of documents into French or English.
  • Bring to the prompt attention of the Executive Secretary to CSSP any matter requiring attention and take the initiative in following up on other CSSP matters.
  • Foster and maintain good working relations on behalf of the Director’s office with high-level officials within the OECD, national delegations, governments, and other international organisations.

Communications support and other tasks

  • Draft correspondence, prepare PowerPoint presentations, official documents, working papers and reports in both official languages of the Organisation.
  • Work closely with other SDD assistants and provide back-up when required.  
  • Contribute to directorate wide initiatives to improve team spirit and well-being.

Ideal Candidate Profile

Academic Background

  • Good level of post-secondary education, preferably with office management, communications, international relations or language studies.

Professional Background

  • Relevant experience as an Assistant, preferably in an international organisation.
  • Very good knowledge of the administrative rules and procedures of the Organisation, in particular with respect to the preparation of OECD documents, and procedures for the organisation of meetings and missions, or capacity to quickly learn and assimilate new rules and procedures quickly.
  • Excellent inter-personal skills and proven team-working and multi-tasking capacity. 
  • Good general knowledge of the structure and activities of the Organisation would be an asset.

Tools

  • Proficiency with the Organisation's IT systems, including Outlook, Word, PowerPoint, SharePoint, O.N.E., EMS, SRP, SAP and SEM applications. Ability to learn new technologies and applications quickly.

Languages

  • Fluency in one of the two OECD official languages (English and French) and knowledge of the other, with a commitment to reach a good working level.
  • Knowledge of other languages would be an asset.

Contract Duration

  • Two-year fixed term appointment, with the possibility of renewal.

  • Depending on level of experience, monthly salary starts at  4 252 EUR, plus allowances based on eligibility, exempt of French income tax.

Selection Process

For retained candidates, Sonru video interviews and written tests are foreseen in December 2022/January 2023, and panel interviews are planned for early 2023.
