Org. Setting and Reporting

The United Nations Global Service Centre (UNGSC) provides critical Supply Chain, Geospatial, Information and Telecommunications Technologies services and Training to all Secretariat Entities, Peacekeeping and Special Political Missions, Agencies, Funds and Programmes of the UN system worldwide.

This position is located in the Front Office of the Standing Police Capacity (SPC) in UNGSC Brindisi, Italy. The Administrative Assistant will report directly to the Special Assistant of the Chief, SPC.

Responsibilities

Within delegated authority, the Administrative Assistant will be responsible for the following duties:

HUMAN RESOURCES MANAGEMENT:
- Initiates, processes, monitors, reviews and follows-up on actions related to the administration of the unit's human resource activities, e.g., recruitment, placement, relocation, promotion, performance appraisal, job classification
reviews, separation, training etc., ensuring consistency in the application of regulations and procedures.
- Enters, maintains and certifies administrative data and records for time and attendance, performance appraisal, etc. in electronic information systems.
- Reviews entitlements-related claims and reports. Provides advice and guidance to staff with respect to administrative procedures, processes and practices, liaising with central administrative services as necessary.
- Maintains and reviews organizational staffing tables.

BUDGET AND FINANCE
- Monitors status of expenditures, updates budget tables. Reviews status of relevant expenditures and compares with approved budget.
- Assists in the preparation of budget performance submissions. Prepares statistical tables and standard financial reports.

GENERAL ADMINISTRATION
- Prepares, processes and follows- up on administrative arrangements and forms related to the official travel of staff. - - Drafts routine correspondence. Maintains files of rules, regulations, administrative instructions and other related documentation.
- Maintains up-to-date work unit files.
- Coordinates extensively with service units and liaises frequently with internal team members both at Headquarters and in the field.
- Performs other related administrative duties, as required.

Education

High school diploma or equivalent is required.

Work Experience

A minimum of five (5) years of experience in the field of administration, finance, budget, accounting, audit, human resources or related area is required.

Experience in the use of office software packages (e.g. MS Word, Excel, PowerPoint) is required.

Experience in drafting official communication is required.

Experience working with an Enterprise Resource Planning (ERP) system, such as SAP (System Application and Products) is required.

Experience working in the UN or other similar international organization is desirable

Experience providing administrative support to Front Office of senior officials is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of French is desirable.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice

• This position is temporarily available until 29 December 2023 with possibility of extension. If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment.

• Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Having passed the Administrative Support Assessment Test [in English] at the United Nations headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International criminal tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia may be accepted in lieu of the GGST.

United Nations Considerations
