Organizational Context

The International Federation of Red Cross and Red Crescent Societies (IFRC) is the world’s largest volunteer-based humanitarian organization, with a network of 192-member National Societies. IFRC is a membership organisation established by and comprised of its member National Red Cross and Red Crescent Societies. Along with National Societies and the International Committee of the Red Cross (ICRC), the IFRC is part of the International Red Cross and Red Crescent Movement. IFRC’s headquarters is in Geneva, with regional and country offices throughout the world. The IFRC has five regional offices in Africa, Asia Pacific, Middle East and North Africa, Europe, and the Americas. The IFRC also has country cluster delegation and country delegations throughout the world. Together, the Geneva Headquarters and the field structure (regional, cluster and country) comprise the IFRC Secretariat. Within the Mental Health and Psychosocial Support team, a project assistant position has been opened to support the administrative tasks associated with the implementation of the project: Mental Health and psychosocial support for displaced people coming from Ukraine (Hereafter “Project”). The overall purpose of this project is to provide sufficient quality psychological first aid (PFA), mental health and psychosocial support (MHPSS) to persons fleeing Ukraine by building/strengthening capacities and capabilities of the Red Cross Red Crescent (RCRC) National Societies’ staff and volunteers, first line responders and other professionals, serving the refugees of the Ukrainian crisis. The project assistant will be part of the IFRC Mental Health and Psychosocial Support team based in Budapest which currently consists of 2 technical MHPSS delegates, 1 Project Manager and 1 Regional MHPSS coordinator. The assistant will provide administrative support to the team in close coordination with the project manager and the rest of the MHPSS team.

Job Purpose

The position will play a key administrative role in supporting the MHPSS team to ensure timely and effective implementation of the project and will support the Project Manager (PM) and the MHPSS team in ensuring high-quality and evidenced-based implementation of the Project by providing high quality technical and operational support to the national societies based on the Project requirements and as guided by the PM.

Job Duties and Responsibilities

1, Provide the administrative, logistical and technical preparations support related to the planned activities including events and trainings in coordination with the regional MHPSS team as required and in line with IFRC systems and procedures and as guided and requested by the Project manager. 2, Support day-to-day activities within the DG Sante MHPSS Project and within the MHPSS team including minute taking from meetings, setting up filing structures, prepare presentations and keeping overview of reporting deadlines. 3, Liaise with other units and teams in the regional office on specific tasks ensuring effective working relationships with other personnel, including all other RC/RC Movement staff, as necessary. 4, Collect and consolidate reports and other necessary communications from the 6 National Societies namely: Slovakia, Hungary, Poland, Romania, Czech Republic and Ukraine, for submission to the Project Manager accordingly. 5, Coordinate events such as meetings, workshops, trainings and other work-related gatherings including organising venue, supporting travel arrangements, hotel bookings etc. 6, Work closely with IFRC Regional Health and Care Team as well as with relevant technical advisors to carry forward recommendations on implementation. 7, Develop and maintain relevant databases and filing systems for optimal management of information and contacts. 8, Liaise with both external and internal contacts in coordination with the project manager to ensure follow-up and execution of planned activities. 9, Perform any other duties and responsibilities as assigned by the Project Manager.

Education

Required: -University Degree in one of the following: Social Science, development studies, public health, business administration, Humanitarian Affairs or any other related field (degree level or equivalent) . Preferred: -Basic delegate training course, IMPACT or equivalent knowledge.

Experience

Required: -At least 3 years of experience in administration and support functions to a middle-sized team. -Relevant professional experience in relation of project management. -Experience in implementation of programmatic plans of action. -Experience in general financial administration, budget preparation and events’ management. Preferred: -Experience in project planning, monitoring, evaluation and reporting. -Experience within the Red Cross and Red Crescent Movement and working with National Societies.

Knowledge, Skills and Languages

Required: -Strong communication skills, including ability to prepare and present concise verbal and written operational reports, briefings, updates and other relevant documentation. -Sufficient IT skills at least use of Microsoft office applications (word, excel, powerpoints, Teams, Forms). -Strong report-writing skills. -Basic level professional knowledge about budgets and financial reporting. -Analytical skills and capacity to translate analysis into strategy planning. -Pro- active and highly organized manner. -Exceptional organizational ability with an eye for detail. -Able to work independently and as part of the team. -Fluently spoken and written English. Preferred: -Good command of another IFRC official language (French, Spanish or Arabic).
