OVERVIEW OF THE FUNCTIONS OF THE POST

The post is located in the Executive Office of the Social and Human Sciences Sector and works under the overall authority of the Assistant-Director General for Social and Human Sciences Sector (ADG/SHS) and the direct supervision of the Chief of the Executive Office. The incumbent responds to the Executive Office and the deputy Executive Office but coordinate closely with the personal assistant and the counsellor. The Knowledge Management and Editorial Assistant is responsible for providing administrative, knowledge management, communication, editorial and project support, with a particular focus on reviewing and editing English-language documents, correspondence, and speeches from the Sector, consistently ensuring quality control and a high level of accuracy in creating, writing, and adapting content for a wide variety of audiences.


In particular, s/he will:

  • Receive, analyze, register, sort, and distribute incoming correspondence and documents in a strategic manner; determine the importance and priority of received documents and follow-up; prompt follow up, by e.g. establishing deadlines for required action or reply and ensure finalization of files. 
  • Contribute to the management of the ADG’s agenda, including prioritize and coordination, schedule appointments, make mission arrangements, organize meetings, assemble documents for these meetings/missions, take notes and follow up on required action. Assist with the coordination and the participation of the ADG/SHS’ in events and conferences.
  • Review correspondence and other documents prepared in English, and make or recommend changes to format, style, spelling or grammar; do informal translation of documents (into English), and draft responses as required. Draft, edit and proofread letters, emails including strategic correspondence to representatives from Member States, IGOs, civil society, and other key internal and external stakeholders. Ensure a timely response of all the messages and requests. Support the front office ensuring all materials for ADG functions are on time and with the needed quality; ensure a fluid workflow and avoid backlogs.
  • Gather and manage contributions, coordinate, edit, and proofread the ADG/SHS’s speeches to ensure targeted and consistent messaging to relevant stakeholder audiences. Identify and gather evidence, research, obtain, analyze, and collate content material from SHS Sections, UNESCO, and relevant external sources, and provide substantive and stylistic input, as required.
  • Under the guidance of the ADG’s Front Office top management, contribute to create and modify strategic communications material to advance SHS priorities for the use of the ADG/SHS, including presentations, and newsletters for a range of key external stakeholders (including government, ministers and permanent delegations). 
  • Any other tasks related to an Executive Office.

Education

  • Completed secondary technical or vocational education.

 

Work Experience

  • At least five (5) years of work experience in administrative, knowledge management, communication, editorial and project support or a related field.

 

Skills and competencies 

  • Excellent drafting skills and craft in revising texts.
  • Solid knowledge of spelling, grammar and punctuation in one working language and a working knowledge in another official language to draft, proofread and review correspondence and documentation, and provide informal translations in one of the two working languages.
  • Ability to maintain effective working relationships with internal and external contacts at all levels in order to obtain/ provide information/ documents and to discuss/ resolve problems related to the drafting or revision of texts.
  • Ability to provide accurate information in a timely way and to prepare quality reports while working under deadlines.
  • Excellent communication skills in one working language (English or French) and good in the other to answer enquiries, clarify and explain procedures and processes, exchange information with staff.
  • Excellent interpersonal & organizational skills.
  • Discretion, initiative and service orientation to provide quality support and services.
  • Solid knowledge of standard office software (word processing, spreadsheets, etc.).

 

Languages

  • Excellent knowledge (written and spoken) of English or French and good knowledge of the other language. 
DESIRABLE QUALIFICATIONS

Work Experience 

  • Experience in the United Nations System or other multilateral organizations and/or in the field of international relations and diplomacy, multilateral setting/cooperation and development.

 

Languages

  • Knowledge of another official language of UNESCO (Arabic, Chinese, Russian and/or Spanish).

UNESCO’s salaries consist of a basic salary and other benefits which may include if applicable: 30 days annual leave, family allowance, medical insurance, pension plan etc.

The approximate annual starting salary for this post is 41 971 euros.
