Organizational Setting

The post is located in the Shared Services Centre (SSC). The SSC recommends and administers process management and procedures that need to be executed effectively; ensure the management of quality assurance activities associated with the transactional processes and implementation of service delivery; continuously improve the satisfaction of its customers, internal or external, while pursuing a continuous improvement agenda that will drive up service excellence while driving down the costs of service delivery through process standardization, process automation and self-service capabilities

The SSC is a key user and stakeholder of the organizational Enterprise Resource Planning (ERP) System, consisting of Oracle eBusiness Suite and Business Intelligence platform and a number of satellite systems. The SSC is responsible for a large number of ERP processes and contributes to the evolution of the ERP System (and other systems) and its alignment with the business needs of the Organization.

Reporting Lines

The Continuous Improvement Analyst Specialist reports to the Senior Continuous Improvement Officer in SSC and works in close collaboration with the SSC Business Units and the Digitalization and Informatics Division (CSI).


Tasks and responsibilities

• Drives efficiency gains through implementation and utilization of end-to-end business process automation solutions;
• Explores the feasibility of streamlining and automating labour-intense administrative processes by using the Robotic Process Automation (RPA) solutions;
• Contributes to identifying opportunities for improvement and efficiency of business processes, supporting the definition of functional needs for the Organization's ERP in collaboration with the Continuous Improvement Team, CSI and policy owners;
• Acts as a Subject Matter Expert (SME) for the implementation activities of the RPA solutions, providing expert advice on how to leverage RPA solutions on all business processes managed by SSC;
• Leads the SSC Business Units RPA focal points activities in identifying process automation areas, finalizing the requests for new BOTs, producing technical documentation and business benefits details;
• Reviews, analyses and recommends solutions, working with process owners and other SMEs to identify new areas for RPA and BOT implementations;
• Leads and coordinate the design, development, test and implementation of RPA solutions for increasing organizational effectiveness of SSC processes and customer satisfaction;
• Acts as the focal point and coordinate activities with external partners (UNICC and Oracle) to finalize ideas for new BOTs and providing process improvement opportunities to deliver business transformation to meet the business needs and other continuous improvement projects;
• Supports the preparation of work plans and monitors progress to ensure delivery of the RPA system and process improvement initiatives as per organizational needs and agreed priorities;
• Supports quality improvement efforts and new best practices to ensure realization of improvement benefits;
• Facilitates communications and change management.

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements

• University degree in Business Administration, Computer Science, Finance, Human Resources or other related field;
• Minimum of 3 years of relevant experience in administration and project management, or in implementing business transformation initiatives related to ERP environments;
• Working knowledge (C level) of English and limited knowledge (B level) of a second FAO language (French, Spanish, Arabic, Chinese or Russian) required. For PSA.SBS working knowledge of English will be sufficient;

Technical/Functional Skills

• Extent and relevance of experience and knowledge of the UN Common system, and of the organizational Enterprise Resource Planning (ERP) Systems;
• Demonstrated ability in customer relationship management, negotiation and communication;
• Experience in working with multicultural teams in business transformation efforts;
• Understanding of the United Nations is essential, and previous experience in FAO or other UN Agencies preferred.

Selection Criteria

• Knowledge and experience of RPA solution tool (preferably UI Path) used for automation in the context of process improvements activities;
• Cross-functional knowledge of Procurement, Finance and HR processes in the context of complex ERP systems;
• Experience with application of artificial intelligence, machine learning, robotics and digital process automation
• Mind-set to leverage digital technology in line with best practices
