Role Overview

The HR System Support Assistant plays a key role in the effective management of employment data for employees in Medair’s information system Medair People in collaboration with our team in Syria. The purpose of this role is to ensure employee and employment data is made available in the HR System to facilitate good organizational and people management for the benefit of the countries we serve.

To achieve this purpose the HR System Support Assist will be fully responsible for the data entry and administration in Medair People of employee and employment information and provide regular and periodic information and reports to HR and Country Program Management.

Depending on capacity, the role may expand to support database management for Medair’s program in Ukraine and Poland.

Project Overview

Medair Global Support Office (GSO) provides operational guidance for country programmes, along with both technical and compassionate support for our relief workers. Within our headquarters and affiliate offices, we are also responsible for promoting the work of Medair to the world, to raise and manage the funds needed to run our life-saving and sustaining programmes, and to recruit international and GSO staff.

 Medair’s global HR function supports the organisation in the implementation of world class humanitarian aid projects by ensuring that the organisation has adequate systems and structures to efficiently recruit and retain the right people. The HR function is also working on impacting Medair’s culture by creating and sustaining a work environment where our values are fully alive and staff is being cared of through a “people to people” model.

Key Activity Areas

Medair People Administration

  • Responsible for database administration, focused on timely and accurate entry of new joiner information, as well as employment and benefit data. Ensure data remains up to date with changes in personal or employment information of employees.
  • Closely collaborate with HR colleagues and other stakeholders to achieve data accuracy and good customer service for Medair’s employees.
  • Responsible for ensuring HR administration and data management is in line with relevant Medair policies and procedures. Develop and maintain appropriate controls, such as checklists and guidelines.
  • Responsible for identifying problems and solving problems in relation to the data set this role is responsible for.
  • Send monthly payslips via Medair People to employees in supported country programmes.

 

Reporting

  • Provide HR management with regular reports on the employee population and employment data, and provide data and information at request.
  • Request new reports from the HR Partner or HR IS Specialist based on need.

Qualifications

  • Certificate in HR or Administration, or equivalent field.
  • Strong working knowledge of English (spoken and written).
