This position is located in the Front Office of the Policy and Best Practices Service in the Division of Policy, Evaluation and Training. The Staff Assistant reports to the Chief of the Policy and Best Practices Service. The incumbent provides administrative support to the Front Office including the management of representational activities for the Director, organization of travel arrangements, coordination and oversight of tasking assignments delegated to PBPS.
The Policy, Evaluation and Training Division (DPET) is mandated to develop and disseminate the policy and doctrine guiding the work of Peacekeeping Operations. In addition, the division has the responsibility to evaluate, at the request of the heads of the departments, how those policies are being applied, gather lessons learned and best practices, and use that information to guide the development, coordination and delivery of standardized training, so as to complete the learning cycle. DPET is also responsible for developing and maintaining strategic cooperation with various UN and external partners.
The Policy and Best Practices Service (PBPS) is part of the Policy Evaluation and Training Division (DPET) of the Department of Peace Operations. It provides support to both DPO and DOS. The core function of PBPS is to help improve the efficiency and effectiveness of peacekeeping operations through the exchange of good practices between missions, the development of guidance material that reflects lessons learned, and thematic policy support in
selected areas. PBPS also leads several reform processes
Within delegated authority and in close coordination with the Chief and other members of the Front Office, the Staff Assistant is responsible for the following duties:
• Performs, under minimal supervision, the full range of office management and administrative support functions; provides direct assistance to the Chief, Deputy Chief and team leaders.
• Maintains liaison with the Executive Office and with senior officials in other units regarding on-going programmes and other administrative matters; monitors processes and schedules related to the unit’s outputs, products, tasks, etc.
• Ensures smooth and efficient information flow within the Service; prepares and processes confidential information; assists in the development of office administrative systems and procedures.
• Researches, compiles and summarizes background materials for use in preparation of reports, briefs, speeches, etc.
• Provides secretarial, administrative and logistics support to meetings, committees, conferences, workshops, training events, etc.
• Orients new staff to relevant administrative procedures and practices and provides general assistance to other office support staff, as required; may coordinate the work of office support staff in providing meetings servicing/administrative support to various sessions of commissions and other bodies.
• Attends meetings, prepares minutes, monitors follow-up activities.
• Responds or drafts responses to a wide range of correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports.
• Carries out quality control function for outgoing documents; proofreads and edits texts for adherence for format, grammar, punctuation and style.
• Responds to complex information requests and inquiries (e.g. answers requests requiring file search, etc.).
• Assists in the preparation of presentation materials using appropriate technology/software.
• May provide some specialized support to Office of the Chief (e.g. technology support, editing, desktop publishing, etc.).
• Maintains calendar/schedules; monitors changes and communicate relevant information to appropriate staff inside and outside the immediate Service
• Performs a variety of administrative duties (e.g. leave recording, meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g., travel requests, expense claims, vouchers, visa applications, etc.).
• Provides support to other PBPS teams as needed.
• Performs other duties as assigned.

High school diploma or equivalent is required.
A minimum of five years of experience in general office support or related area is required. .
Experience providing support to senior leadership is required.
Experience in a front office environment is required.
Experience using integrated information management systems, such as Inspira, Umoja, Unite Docs or other comparable systems is desirable.
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of French is desirable. Knowledge of another official United Nations language is an advantage.Assessment
