Profile requested

  • Proven 5 years experience in managing HR and Administration
  • Capacity to adapt to an international environment with legal representation in 2 countries and staff and consultants in 4 continents
  • Strong autonomy
  • Ability to learn and find solutions
  • Able to work in French and Spanish
  • Able to communicate in English
  • Bachelor's or Master's degree in Human Resources, Business Administration, or a related field

Desirable

  • Understanding of the humanitarian and/or development sector

Responsibilities

  • Oversee all HR and Administrative matters for Relief Applications (around 15 staff and consultants) and its Spanish branch (around 15 staff and consultants); ensure it is done or do it when needed; the tasks include but are not limited to:
    • Prepare the accounting files for the French and Spanish entities so they can be transmitted to the accountant every month
    • Ensure that all invoices are properly tagged and transmitted to the accountant
    • Manage the recruitment and selection process (Job desc publishing, interviews and tests, contracts for consultants and liaising with accounting firms drafting staff contracts)
    • Onboard and offboard personnel
    • General HR administration (employee records, leaves, time tracking, yearly performance reviews, feedback sessions, payroll as prepared by accounting firms, etc.)
    • Madrid office management
    • Day-to-day operation (budgets, planning, purchase of materials and managing inventory, etc.)
  • Manage the HR and Admin officer
  • Ensure a strong HR strategy is in place and implemented to attract and retain talents and nurture a positive working environment (including: social activities and events, team building, and innovation week)
  • Develop and monitor HR strategies, systems and procedures across both entities (France and Spain)
  • Liaise with accounting firms to ensure legal compliance
  • Maintain an overall financial overview to plan efficiently future expenditures
  • Produce cost analysis for all projects and propose recommendations to increase efficiency
  • Manage customer support platform staffing
