Org. Setting and Reporting

This position is located within the United Nations Investigative Team for Accountability of Da'esh / ISIL (UNITAD) in the National Engagement & Support Unit. The Administrative Assistant will report to the Head of unit and will be based in Baghdad, Iraq.
UNITAD was established by the Secretary-General pursuant to Security Council resolution 2379 (2017), according to which it is mandated to support domestic efforts to hold ISIL (Da'esh) accountable by collecting, preserving and storing evidence in Iraq of acts that may amount to war crimes, crimes against humanity and genocide committed by the terrorist group ISIL (Da'esh) in Iraq.

Responsibilities

Within delegated authority, the Administrative Assistant will be responsible for the following duties:

• Enters, maintains and certifies administrative data and records for time and attendance, performance appraisal, etc. in electronic information systems.
• Provides advice and guidance to staff with respect to administrative procedures, processes and practices, liaising with central administrative services as necessary.
• Ensures smooth and efficient information flow within the Division; prepares and processes confidential information; assists in the development of office administrative systems and procedures.
• Researches, compiles and summarizes background materials for use in preparation of reports, briefs, memos, speeches, etc.
• Provides assistance in coordinating the secretariat-wide activities (meetings, training, etc.), special projects and events.
• Consolidates data received and provides support to higher-level staff with respect to budget reviews of relevant intergovernmental and expert bodies.
• Reviews status of relevant expenditures and compares with approved budget.
• Reviews requisitions for goods and services to ensure (a) correct objects of expenditure have been charged and (b) availability of funds.
• Prepares, processes and follows-up on administrative arrangements and forms related to the official travel of staff.
• Drafts routine correspondence.
• Maintains up-to-date work unit files (both paper and electronic).
• Coordinates extensively with service units and liaises frequently with internal team members both at Headquarters and in the field as well as government entities.
• Performs other related administrative duties, as required, e.g., operational travel programme; monitoring accounts and payment to vendors and individual contractors for services; physical space planning; identification of office technology needs and maintenance of equipment, software and systems; organizing and coordinating
administrative arrangements for seminars, conferences and translations.

Education

High school diploma or equivalent. Solid computer skills including proficiency in word processing and spreadsheets is required.

Work Experience

A minimum of five (5) years of experience in administrative services, finance, accounting, audit, human resources or related area is required.

Experience in booking of meetings and arranging calendars is required.

Experience in drafting correspondence is required.

Experience with ERP SAP (e.g Umoja) is desirable.

Experience with People Software (e.g Inspira) is desirable.

Experience working in the United Nations common system or similar international organization is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Fluency in Arabic is Required.

NOTE: ''Fluency'' equals a rating of ''fluent'' in all four areas (read, write, speak, understand) and ''Knowledge of'' equals a rating of ''confident'' in two of the four areas.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
