Job Overview/Summary: The Program Assistant provides administrative support to the Immigration Legal Services teams and client support services to refugees, They carry out services with a strong emphasis on empowerment through a strengths-based approach that supports clients to thrive in their community.

 

Major Responsibilities:

Responsibilities include, but are not limited to:

  • Provide support to the Immigration Legal Services team by answering phones, emails, and texts.
  • Screen referrals received from our New Client Services Request form and internal and external partners and direct to the appropriate internal contact.
  • Provide administrative support by setting up eligible clients’ folders on Box and filing all Program-required documentation into the client virtual files.
  • Connect clients with IRC and partner resources with a focus on clear and timely communication.
  • Work across teams (Employment, Health and Wellness, Resettlement, Education, Immigration) to provide referrals, advocate on clients’ behalf, and support the coordination of services. 
  • Maintain partnerships with community organizations for client referrals as needed.
  • Satisfy recordkeeping requirements.
  • Assist with administrative aspects of case management duties, as needed.
  • Other duties as assigned.

Job Requirements:

  • Undergraduate degree preferred;
  • Prior related work experience, including customer service, compliance with program requirements, and accurate and timely recordkeeping;
  • Strong commitment to ensuring the success of the IRC mission while adhering to the values of service, accountability, integrity, and equality as defined in the IRC Way
  • Strong organizational skills and attention to detail;
  • Proven ability to contribute both independently and as a key team member;
  • Fluency in English and Spanish;
  • Reliable, professional, resourceful, team-oriented, and sensitive to cultural differences
  • Self-starter with excellent problem-solving skills combined with the proven ability to multi-task, prioritize duties, and manage time effectively;
  • Proficient in Microsoft Office applications (Word, Excel, Outlook)

Working Environment: Standard Office Work Environment, potentially supplemented with occasional remote work.

Compensation: Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget.  Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirement.
