What we do

 

The International Committee of the Red Cross (ICRC) www.icrc.org responds to worldwide humanitarian needs through its global network of delegations. The ICRC is an impartial, neutral and independent organization whose exclusively humanitarian mission is to protect the lives and dignity of victims of war and other situations of violence and to provide them with assistance.

 

Purpose

 

ICRC will create a centralized event unit in order to strengthen its impact, efficiency and effectiveness in this area. We are now looking for a very experienced event manager who will be in charge of designing and building this unit (organization, processes and systems) and then in a second stage run it.

 

Main duties and responsibilities

 

Design/Build/Implement the ICRC event management unit:

 

  • Based on the research done so far on event management (i.e. the 2020 feasibility study), design a vision and plan for an event management unit at the ICRC.
  • Set up and manage the project within ICRC (e.g. planning, budget, reporting, risk analysis, escalation management).
  • Manage the change aspects of the project (stakeholder management, impact assessment, internal/external communication, training,….).
  • Establish and lead an internal steering committee with key internal stakeholders to sign off the vision and the design of the event management unit and follow up on its implementation.
  • Design/build together with subject matter experts:
    • The new organization
    • The standardized and streamlined event processes and procedures
    • The new virtual event platform

 

 

Main duties and responsibilities

 

Run the ICRC event management unit:

 

  • Development and delivery of events strategy and yearly planning to ensure consistency, cost-effectiveness, efficiency and scalability to the organization for events.
  • Select with external agencies and suppliers and manage the contract negotiation.
  • Develop a set of KPIs, provide events effectiveness reports and make recommendations and implement continuous improvement.
  • Develop a sense of service to users, partners and clients.
  • Manage a unit that is responsible for:
    • The overall organization of events (on-site, hybrid and online events) from contracting to promotion, delivery and post-event management.
    • Supervise and coordinate the external agencies and multiple events suppliers.
    • Manage events budget including processing payments and invoices to ensure spends are aligned with the plan.
    • Coordination with the communication department to create and optimize the promotion/communication around events

People management responsibilities

 

  • Manage, coordinate, supervise and develop the Events Teams and supervise the (internal) actors belonging to the support services in their contributions to the events.

  • Geographic remit: HQ / Field (second stage)

 

Relationships

 

Internally:

  • Interacts with different departments and units within ICRC

 

Externally:

  • Suppliers, external partners and stakeholders of ICRC.

 

Education and experience required

 

  • Minimum 8-10 years’ experience in events (demonstrated experience in delivering events virtually, face-to-face and hybrid)
  • Proven experience in project and change management
  • Minimum of 3 years of managing direct reports and team development.
  • Master’s degree required in a relevant field (events, communication, marketing, international relations).

  • Excellent written, verbal communications and presentation skills.
  • Fluent in English. Other language ability e.g. French are an asset.
  • Excellent commend with Microsoft Office (PPT, Excel, Word).
  • Knowledge of different event platforms platforms (Cisco Webex, Zoom, Teams).
  • Experience with a CRM is a plus
