The Development Centre (DEV) helps developing countries and emerging economies find innovative policy solutions to promote sustainable growth, reduce poverty and inequalities, address gender equality and improve people’s lives. The Centre facilitates policy dialogue between governments, involving public, private and philanthropic actors. Countries from Africa, Asia and Latin America participate as full members in the Centre, where they interact on an equal footing with OECD members.

The Economic Transformation and Development Division carries out high-impact global research and policy advice with and for developing countries on industry, trade, innovation, infrastructure and territorial development with a view to support developing countries better navigating the evolving globalisation landscape, crafting, and implementing better development strategies. The Economic Transformation and Development Division hosts the OECD Initiative for Policy Dialogue on GVCs, Production Transformation and Development, Cities Connect, PLIC- the G20 Platform on Intermediary Cities and implements the Production Transformation Policy Reviews. The Division carries out policy-oriented research in areas linked to global and regional value chains, innovation, start-ups, cities and territorial development, and infrastructure for development.

The Centre is looking for an Assistant to carry out a wide range of administrative and secretarial tasks in support of the Economic Transformation and Development Division. The Assistant will work under the direct supervision of the Head of Division, will provide administrative support to the Head of Units and Project Coordinators, and will work in close cooperation the Head of Division’s Assistant, in liaison with the Central Management Unit (CMU).

 

Main responsibilities

 

1. Meetings/Missions

  • Offer secretarial support to meetings/workshops/conferences, held virtually and or in presence, in Paris and abroad, and working group teleconferences which involve a wide range of administrative tasks, such as reserving meeting rooms, invitations, registrations; preparing and maintaining participant lists, preparing relevant meeting correspondence and documents (arranging translation of agendas and background documents, and interpretations etc) and other secretarial tasks (Power Point Presentations etc.), in particular for PLIC and IITF.
  • Liaise with event organizers and other parties regarding logistics (budget estimates, conference venues, hotel accommodation, invitations, registration, documentation, social events);
  • Organise missions including travel arrangements, hotel bookings, visa applications, prepare missions orders and expense claims using the SAP system;
  • Prepare financial commitments, services contracts for consultants and ensure payments in a timely manner;
  • Liaise with participants and partners as well as consultants/experts as required.

 

2. Website Management

  • Update the webpage of the Economic Transformation and Development Division, coordinate with the Communication team for enhancing web visibility of ETD Division outcomes.
  • Assist in conceptualising and implementing new approaches to communicating on the web.

 

3. Communication and Publication support

  • Provide assistance in the preparation of documents and reports, in both official languages (English and French), in accordance with the OECD Style Guide. This includes proof-reading, formatting and the use of standard OECD software.
  • Translate short texts from English into French or vice versa.

 

4. General Assistance

  • Support the Head of Division’s Assistant in high level meetings organization and related Division activities
  • Provide a range of secretarial assistance to the team maintaining a filing system, tracking requests and projects to ensure that deadlines are respected.
  • Carry out other relevant duties as required i.e. including replacement of fellow assistants during their absence.

 

Ideal Candidate Profile

 

Academic Background

  • Good level of secondary education. Training as a secretary/assistant would be an advantage.

 

Professional Background

  • Relevant experience in similar assistant roles, preferably in an international environment.
  • Experience in the preparation (formatting, editing and proofreading) of documents/publications.
  • Experience in the organisation of large-scale meetings and events and business travel.

Tools

  • Proficiency in the use of the Microsoft Office Suite and the ability to learn new systems rapidly.
  • Familiarity with the internal OECD administrative and financial systems, in particular the Events Management System (EMS), Prism system for Missions and Translations, SAP, T4, or the ability to master them quickly.
  • Experience updating content on websites would be an asset.

 

Communication and languages

An excellent written and oral command of the two official languages of the Organization (English and French). Mother-tongue in one of the two would be an advantage, as well as knowledge of additional languages [Spanish, Arabic, among others].

Contract Duration and salary

  • One -year fixed term appointment, with the possibility of renewal.
  • Salary 2,320 EUR gross per month
