FINANCE & ADMINISTRATION MANAGER

Permanent, Full Time

Salary - $75,000 to $90,000 per annum dependent upon experience + benefits

Location – Washington DC (hybrid working)

POSITION SUMMARY: The Finance & Administration Manager serves as the primary support for the Executive Director and as a point of contact for internal and external individuals on all matters pertaining to finance, administration, and human resources. The ideal candidate must have demonstrated experience preparing budgets and financial reports, managing monthly closing processes, reconciling accounts and compiling audit materials. Additionally, the candidate must have experience preparing concise and accurate documents for senior management and board members and must have the ability to multi-task, effectively set priorities and diplomatically manage competing requests. The ideal candidate is a team player that is mission-focused, creative, self-motivated and demonstrates a positive attitude.

REPORTS TO: Executive Director

SALARY RANGE: $75,000-$90,000 commensurate with experience.

LOCATION: This position is located in Washington, DC. The HALO Trust USA supports a hybrid workplace and work life balance, with 2 days per week expected to be worked in-office.

Mission

The HALO Trust (USA) is the American arm of The HALO Trust, the world’s largest landmine clearance charity. HALO USA’s 15-member staff team works to mobilize funding from the US government and American private donors to support the operations of HALO’s 10,000 landmine clearance professionals operating in 30 countries around the world. HALO’s mission to protect lives and restore livelihoods of people affected by conflict. The organization’s goals are to protect lives from the explosive threats and hazards resulting from conflict, to reduce human suffering from armed violence and to build resilient and prosperous communities.

DUTIES AND RESPONSIBILITIES:

Finance

  • Responsible for management and oversight of the accounting function, including transaction processing, reconciliation of financial ledgers and production of periodic financial reports (P&L account and balance sheet) to senior management and board of directors.
  • Preparation and monitoring of the consolidated organizational budget, supporting budget holders in the production and monitoring of departmental budgets including key performance indicators.
  • Support the efficient drawdown of grant funding from Government and Private donors, including transfer of sub-awards to delivery agencies.
  • Ensure income and expenditure recognized in accordance with accounting policy.
  • Support the ongoing development of the ERP system (Oracle NetSuite) to meet the needs of the organization.
  • Assist in the annual audit process and preparation of Form 990.
  • Manage and oversees vendor processing accounts, including W-9 collection and annual Form 1099 reporting.
  • Supervise and develop the Finance and Administrative Associate.

Administration / Human Resources

  • Provide administrative support to meetings of the board and sub-committees, including the coordination of committee meetings and the distribution of board materials.
  • Oversee the payroll processing process, liaising with the payroll bureau as required.
  • Provide general administrative support including office management etc.
  • Prepares and files business returns and all state registrations and local filings and renewals.
  • Reviews and updates financial policies and procedures, and internal controls.
  • Assists with new employee on-boarding process.
  • Assists with administration of employee benefits and keeps up to date employee files.
  • Manages business liability and Directors & Officers insurance renewals
  • Assists with IT service management
  • Leads the onboarding of staff and acts as the principal HR point of contact for HALO USA staff

Requirements

PROFESSIONAL EXPERIENCE/QUALIFICATIONS:

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly.
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, vendors, board members and external partners.
  • Excellent writing and editing skills with a keen attention to detail.
  • Technology savvy with experience managing relationships with software vendors; knowledge of accounting and reporting software.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Self-motivated and ability to work well under pressure.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands and demonstrate the highest level of customer/client service and response.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.

QUALIFICATIONS:

  • Bachelor’s degree in accounting/finance.
  • Strong work tenure: 3-5 years’ experience in a similar role.
  • Knowledge of nonprofit accounting standards and association operations.
  • Strong knowledge of accounting systems.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
