The Program

The Corporate Accounting, Payroll, Timekeeping, and Travel Departments perform vital functions for Mercy Corps globally. These groups interact with all other departmental functions and separate entities of the Agency, providing meaningful financial information to employees, management, donors, and regulators; processing global pay and vendor payments; and enabling team member travel. Corporate Accounting includes all consolidated accounting, headquarters accounts payable, annual global external audits and global consolidated financial reporting. The Corporate Accounting Department works closely with Treasury and with the International Finance Department in consolidating field information to provide monthly consolidation of over 40 countries. Payroll and Timekeeping are responsible for processing and allocating pay for all US based and Expat team members. Global Travel is responsible for the management and strategic development of Mercy Corps travel program.

The Position

This position is responsible for completing a range of duties including analyst functions and managing the online time keeping system and provides support to the other members of the finance team in a timely and accurate manner with a spirit of team work and service.

Essential Job Responsibilities

  • Project Manage the Databasics global rollout of Timekeeping and Expense modules
  • Ensure project objectives are met within the established budget and timeline
  • Organize the support of country offices in implementing the organizational changes necessary for the transition to online timesheets and expenses
  • Support the development and alignment of targeted training for country offices on new system functions
  • Own the Databasics Team SharePoint site and build a comprehensive Communication Site for new team member onboarding
  • Maintain and support integrations with existing systems/technology, organizational workflows, and operational contexts
  • Develop processes and tools to track compliance of timesheet and expense submissions; identify relevant data points/metrics and establish tracking mechanisms in coordination with multiple stakeholders
  • Determine operational objectives by studying business functions, gathering information, and evaluating output requirements and formats
  • Identify potential system improvements by studying current practices and policies and designing modifications where needed
  • Recommends controls by identifying problems and writing improved procedures
  • Create and maintain strong processes and controls around the Databasics system

Reports Directly To: Timekeeping Manager

Works Directly With: Timekeeping Team, Travel & Expense Team, members of the Corporate Accounting and International Finance Teams, Human Resources, and individual Databasics users

Accountability to Participants and Stakeholders

Mercy Corps team members are expected to support all efforts toward accountability, specifically to our program participants, community partners, other stakeholders, and to international standards guiding international relief and development work. Minimum Qualification & Transferable Skills

  • Bachelor’s Degree and 4+ years of relevant experience
    Experience supporting Timekeeping and/or Expense software (Databasics, preferred)
  • 1-2 years of experience working with data management systems and automated workflows
  • Knowledge of payroll and time related state and federal regulations, leave management, and expense report best practices
  • Experience working cross-functionally with technical and non-technical individuals; demonstrated skills in cross-cultural communication
  • Background in training development
  • Knowledge and / or experience of establishing strong global networks and internal communications
  • Knowledge and / or experience of coordinating with multiple stakeholders, with different perspective
  • Demonstrated history of providing excellent customer service, meticulous attention to detail, and ability to follow procedures, complete tasks, meet deadlines and work well under pressure and cooperatively with team members is required
  • Excellent communication skills, both written and oral
  • English fluency is required; additional fluency in French or Arabic is preferred
  • Proficiency with MS Office software required (Word, Excel, PowerPoint), and Google suite (Google drive, docs, sheets). Experience with SharePoint Sites is preferred.
  • Demonstrated experience maintaining confidential information

Success Factors

The successful Project Manager will have the ability to work independently and at the same time work fluidly with the Finance teams and interdepartmentally and employ effective time management skills, handle frequent interruptions and shifting priorities, exhibit effective customer service skills, and work effectively with a wide variety of individuals including international staff. The successful Project Manager will thrive in a fast paced environment prone to rapid change. The most successful Mercy Corps team members have a positive approach, a strong commitment to teamwork and personal accountability, the ability to be flexible and make effective communication a priority in all situations.

Living Conditions / Environmental Conditions

This position is based in Portland, Oregon, Washington DC, or U.S. remote. This position may require some travel.

Mercy Corps team members represent the agency both during and outside work hours when deployed in a field posting or on a visit/TDY to a field posting.
