In India, Jhpiego works across various states in close collaboration with national and state governments,
providing technical assistance in the areas of family planning, maternal and child health, strengthening
human resources for health, and non‐communicable diseases. These programs are funded by USAID, Bill
& Melinda Gates Foundation, David & Lucile Packard Foundation, Children’s Investment Fund Foundation
(CIFF), MSD for Mothers and others.
This position offers an exciting and unique opportunity to work and gain experiences under the leadership
of the Country Director (CD). Program & Admin Associate ensures effective and efficient functioning of the Country
Director’s office, full confidentiality in all aspects of assignment, maintenance of protocol procedures,
management of information flow and follow‐up on deadlines and commitments made.
The Associate works in close collaboration with Program, Senior Management Team, Operations
teams, and external stakeholders to ensure efficient flow of information, actions on instructions, agendas.

Responsibilities

Roles and Responsibilities:
1.Ensure effective and efficient functioning of the Country Director’s office focusing on achievement
of the following responsibilities:
 Management of the Country Director’s office, ensuring an environment of professionalism and
teamwork at all times, and setting exemplary standards of conduct for the ICO team
 Efficient and discreet management of the Country Director’s schedules
 Organize regular and ad‐hoc meetings; preparation of minutes and summaries of actions to be
taken; tracking of progress on planned issues; follow‐up with focal points
 Screen all incoming communications and upkeep of outgoing communication
 Adherence to appropriate protocol and correspondence guidelines when communicating with
Government and other external partners
2. Ensure provision of effective communications and administrative support to the office focusing on
achievement of the following responsibilities:
 Maintenance of the filing system ensuring safekeeping of confidential documents
 Coordination of the information flow in the office and dissemination of corporate and interoffice
communication to staff as required
 Facilitation of information sharing with Management Support and Senior Management Team,
Program and Operations Teams
 Follow up on deadlines, commitments made, actions taken and coordination of collection and
submission of the reports to the Country Director
 Draft routine correspondence, interoffice circulars, general briefing notes, documents, reports,
and minutes of meetings when requested, translations when required
 Administration of travel, meetings, appointments and briefings of Country Director. Including
drafting of background notes.
 Maintenance of Teams’ status reports, best practices, lessons learned, publishing on section
intranet and compiling of information for resource mobilization and communications
 Support to organization of advocacy events as and when required
3. Ensure facilitation of knowledge building and management focusing on achievement of the
following responsibilities:
 Sound contributions to knowledge networks and communities of practice
 Organize trainings for staff on coordination, administration and protocol issues

Required Qualifications

Abilities/Skills:
 Demonstrated ability in communicating with different stakeholders and on various platforms
 Results‐oriented with ability to produce high quality deliverables, managing multiple concurrent
tasks, and cognizant of timelines
 Self‐starting capabilities
 Ability to handle a variety of assignments under pressure of deadlines and flexibility
 Demonstrated ability to exercise confidentiality and professionalism
 Excellent time‐management, problem‐prevention and problem‐solving skills
 Competent in Microsoft office: Excel, MS word, and Power point
 Working knowledge of Adobe suite would be preferred
 Fluency in English both written & verbal and working knowledge of Hindi.
 Willingness to travel intermittently.
Qualification and requirements:
 Graduation or Post Graduation Degree in any stream
 Working experience of 2 to 3 years in secretarial, administrative, program administration would
be preferred
 Experience of providing support at a senior level is a must
 Experience and exposure of working with a development/international organization
 Experience in providing overall support to office administration and/or logistics support
