Job Overview
The Operations Specialist is responsible for receptionist services and operational duties, resulting in a well-functioning, compliant operational environment for staff, clients, and partners. Position reports to Development Manager.
MAJOR RESPONSIBILITIES
Responsibilities include but are not limited to:
- Reception and Facility Management
- Answer all incoming phone calls, listening to voicemails and direct them to the appropriate team members in a timely and courteous manner.
- Manage front desk area, greeting and directing clients and visitors in a professional manner.
- Manage the Stop and Shop located in the reception area, scheduling shopping appointments with clients, processing paperwork for CIK distribution, and keeping shelves stocked with CIK items
- Assist with annual and mid-year inventory counts
- Provide information and answer questions for all visitors.
- Maintain reception area and lobby in a neat and professional manner.
- Receive and distribute incoming mail and faxes.
- Support the Deputy Director with resolving facility maintenance issues.
Job Requirements:
- Front office/reception experience preferred
- Experience working with inventory management software preferred
Information Technology (IT)
- Coordinate repairs and improvements of copiers and other equipment with staff, property manager, and vendors.
- Support office-level IT and communications infrastructure, hardware, and software needs.
Supply Chain
- Order office and program supplies as needed.
- Process vendor invoices in coordination with Finance team.
- Support Development Manager with CIK inventory tracking and reporting
Safety and Security (S&S)
- Provide support for day-to-day S&S matters.
- Support special projects and perform other tasks and duties as assigned.
Human Resources Support
- Serves as primary resource for new staff on office protocols and other onboarding materials.
- Coordinates HR administrative activities including new hire and hire change paperwork processing, posting vacant jobs, managing background checks for staff, ordering staff business cards, badges, and key cards
Working Environment:
- A combination of standard office environment and ‘field’ time within the service delivery area to perform the above outlined responsibilities
- May require occasional weekend and/or evening work
Compensation: Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience, and skills relative to the defined job requirements.
