Result of Service

Effective and consistent management of routine activities of the Section including a wide range of office support, administrative and logistics functions. - Administrative support in the implementation of IFCMS projects

- Consultants under these projects are hired, evaluated and remunerated;
- Meetings and conferences are organized in different countries under the projects;
- General Office support will be rendered to ensure the smooth functioning of the Section;
- Files and databases are well managed, ensuring that all related correspondence and other documentation are appropriately filed, registered, and followed up.

Duties and Responsibilities

Background:
The Private Sector Development & Finance Division (PSDFD) requires an Individual Contractor's services in order to meet the increased level of effort essential to effectively execute its increased responsibilities due, mainly, to the leading role ECA is playing to enhance Member States' capacities to design and implement policies and strategies that promote innovative financing for developing capital markets to support private sector development and attract investment; the added responsibilities in the hands of the Division mean increased demand for staff assistants to support a large number of activities intended to support member States. The incumbent shall perform his/her duty under the Innovative Finance and Capital Markets Section (IFCMS).
Duties & Responsibilities:

The Individual Contractor will work under the overall supervision and guidance of the Director of the Private Sector Development & Finance Division (PSDFD) and the direct supervision of the Chief of the Innovative Finance and capital Markets Section (IFCMS). His/her duties and responsibilities are as follows:

1. Perform a wide range of office support and administrative functions, duties and processes, including draft responses to routine correspondence, notes, and any other routine communications, as required;
2. Use standard word processing package to produce a variety of routing correspondence, reports, tables charts, graphs required for events mentioned above.;
3. Maintain files and databases, including by managing individual case files, ensuring that all related correspondence and other documentation are appropriately filed, registered, and followed up;
4. Assist in research, compile and organize information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc.
5. Assist in processing consultancy recruitment related assignments related to IFCMS projects (including processing consultants' contracts from building JO to finalizing contracts and all follow up actions, processing travel requests, preparing travel claims, requests for office supplies and equipment, etc.);
6. Assist in organizing meetings, raising TRs, processing DSAs and payments and all preparation of meetings.
7. Provides secretarial, administrative and logistics support to meetings, boards, committees, conferences, etc. for PSDFD in general and IFCMS Projects in particular (including organizing special knowledge delivery events around the projects, liaising with service sections within ECA (Conference Section, Travel, etc.) in support of the implementation of these project, initiating contacts with targeted experts for knowledge delivery activities and events andfacilitate their travel and participation, maintaining electronic participation list at special knowledge delivery events and updating ;
8. disseminating lists of participants; documents, reports and other materials, where possible using electronic formats or coordinating courier services;
9. Follow up on impending actions and deadlines. perform basics data entry and extraction functions;
10. Operate and maintain a variety of office equipment in the performance of basic office functions;
11. Deliver urgent mail/messages;
12. Perform other administrative duties for the Section as assigned.

Qualifications/special skills

HS Diploma is required for this post. A Degree in Management, Economics, Business Administration or related field is highly advantageous.
A minimum of seven (7) years of experience in general office support or related area is required.
Knowledge and experience of Umoja in the UN organization is required.
A good understanding and operation of basic office data entry tools, and computer software is an advantage

Languages

English and French are the working languages of the United Nations Secretariat. Fluency in spoken and written English is essential for this post. Knowledge of another UN official language is an advantage.
