Solidaridad Regional Expertise Centre, (hereafter: Solidaridad), is a not-for-profit organization. Solidaridad India is part of the global Solidaridad network, which has its Secretariat in the Netherlands and is a major international driver of sustainable and fair production and consumption practices in different agri-food sectors like Coffee, Tea, Cocoa, Fruit & Vegetables, Cotton, Textiles, Gold & Industrial Minerals, Soy, Palm Oil, Sugarcane, Livestock/ Leather, Dairy and Aquaculture including leather. Solidaridad has a network structure consisting of nine Regional Expertise Centres on five continents with advanced knowledge of all supply chain levels.
Project Background:
Tamil Nadu is seen as the capital of the leather industry in India. Over 45% tanneries in India are located in Tamil Nadu, which is responsible for over 60% of tanning capacity and 50% of leather exports from India. The challenge of the tanning clusters in Tamil Nadu is to deal effectively with the large volumes of solid waste which is causing serious environmental pollution and public health hazards. Without adequate waste management and circular approaches, there will be an inevitable loss of competitiveness of the Tamil Nadu leather industry. With the support of European Union funds, tanneries will be encouraged to adopt circular leather tanning and waste management practices that are economically and environmentally viable.
We are in the process of recruiting qualified and competent candidate to support the above project in the position of Administrative Officer
Reporting
The position will be reporting to Program Manager.
Key Responsibilities
The position is responsible for managing the administrative functions of our project office in Chennai where in, the incumbent provides both operational and programmatic support to the organization. The main responsibility of the Administrative Officer would include:
Administrative and Procurement Responsibilities (KRA 1)
- Handling calls & queries, maintaining all incoming and outgoing mail/courier records
- Assisting in day to day admin functions including overseeing and co-ordinating office administrative procedures and review, evaluate and implement new procedures
- Handling house-keeping issues and record of inventory purchased, maintaining and monitoring of office vehicle(s) and its use in cost effective manner.
- Liaison with concerned service providers in order to maintenance of office assets viz., telephone, fax, photocopier, computers, printers, etc.
- Liaison with logistical service providers such as hotels, courier, freight & forwarding, packaging, tours & travel, office stationary & supplies etc
- Organizing workshops, seminars, training & meetings as and when required.
- Coordinating and maintaining database of all the vendors & suppliers
- Timely preparation of procurement plans for the project and ensure effective procurements of goods/ services etc as per the plan.
- Ensure all procurement requirements of the project office is completed timely as per the plans by following all due procurement processes as per organisational policy.
- Coordinating staff travel arrangement for both in city and out city travels
- Ensuring timely verification and submission of bills of administrative expenses viz., telephone, mobile, electricity etc.
- Liaise with Government officials /departments and all other concerned agencies.
- Supervising IT related work in close coordination with IT consultants.
Internal controls (KRA 2)
- Follow internal control and financial procedures.
- Monitoring periodic financial reports from the implementing organisations;
- Oversee the maintenance of the inventory of all fixed assets, including assets purchased with organisational funds assuring all are in accordance with procurement policies and laws of the land.
- Assist in the maintenance and regular up-gradation of Organization’s Administrative system.
Programme Support (KRA 2)
- Provide respective Project Head with an operating budget.
- Work to ensure programmatic success through cost analysis support, and compliance with all contractual and programmatic requirements.
- Assist in programme budgeting for new funding opportunities and determining cost effectiveness of prospective programs
- Visit to the implementing areas of the project as and when required.
Key skills and Competencies:
The incumbent must have proficient knowledge in the following areas:
- Generally accepted accounting principles, administration of employee benefits, payroll systems and reporting, office administration, understanding of relevant legislation, policies and procedures.
- S/he should have good organisational awareness and understanding of the significance of financial information for management decisions.
- Strong analytical skills
- Strong interpersonal skills and ability to communicate both verbally and in writing, coupled with the professional credibility required to influence and motivate others.
- Proven experience of working in a multi-site organization.
- Timely completion of all the activities / operations, for various functions
- Ability to deal with difficult situations and use judgment to solve problems.
Qualifications and Experience
- Post Graduate with 5 years of work experience in admin and finance role, out of which two years of working experience in non-profit sector.
- S/he will have strong accounting knowledge and administrative skills and ability to manage and work with a small but diverse team.
