Finance and Procurement Assistant

BACKGROUND
The Finance and Procurement Assistant will efficiently provide comprehensive information, clerical, and accounting services to assist the Grants Project Team in executing processes and delivering service.
JOB DESCRIPTION
• Assist project team to complete standard financial documents for its grantees and assist the Accountant with the review and finalizing of the financial reports as per the contract requirement.
• Provide administrative and clerical support to financial transactions processing. Prepare, compile and scan related documentation.
• File accounting and financial reporting documentation following IUCN ORO and Kiwa procedures.
• Compile supporting documentation (liquidation/receipt package) to support processing of financial transactions. Communicate with staff, sub recipients, suppliers to follow up on required documents.
• Keep custody of various documents (e.g. Contract, Assessment and Monitoring Reports, Grantees Monthly Financial Reports etc.).
• Assist Procurement Officer with preparing of annual procurement plans for the project, by collecting required information from the Grantees and or the project operations.
• Assist with the procurement process for the KIWA project office and equipment needs.
• Provide support in assessment workshops and conduct project training workshops.
• Assist Grantee organizations in setting up appropriate financial systems and procedures to ensure compliance with donor funding requirements.
• Process, on behalf of project team, their travel application on the IUCN application for their duty travels.
• Assist Project teams with liquidation of cash advances and expense claims upon return from duty travel.
• Assist with managing project payments processed via corporate project Visa card and liquidating all expenses via Expense Claim.
• Assist and support the KIWA team and Grantees in Semi-annual and Annual report preparation.

Other General Duties:
• Assist and provide support for IUCN ORO events and workshops.
• Provide support in office records management; make sure that all documents are maintained as per IUCN standard policies
• Attend and participate in international meetings, as required, reporting back on these meetings.
• Carry out other duties as reasonably agreed with the line manager.
REQUIREMENTS
SALARY
The gross annual salary for this position is between FJD 26'234 and FJD 32'792. While this is an indicative amount effective as of the current date, changes may occur as per IUCN's compensation practices without prior notice. The same applies to other organisations hosted by IUCN.
