WHO ARE WE LOOKING FOR
The primary objective of this role is to bolster and advance the collaborative partnership framework within GCA Programs. This involves spearheading specific partnership processes, overseeing capacity-building endeavors to address partners' organizational and technical learning requirements. Responsibilities include leading organizational capacity assessments, arranging administrative logistics for trainings and capacity development initiatives, assisting in identifying potential partners, adhering to GCA/Donor policies for partner selection, fostering deeper strategic alliances, and striving to establish GCA as the preferred collaborative partner for local, national, and international partners.

Areas of responsibility



1. Sub-grant Management:
• Lead end-to-end sub-grant processes, including the review of proposals and sub-grant agreements. Facilitate the preparation of technical and financial evaluation reports for sub-grant review committees.
• Conduct comprehensive pre-award due diligence vetting and assessments of current and potential partners to analyze organizational capacity and risks.
• Provide support for quality control and the finalization of pre-award documentation.
• Establish and manage robust sub-grant procedures and mechanisms.
• Prepare and deliver periodic reports on sub-grant progress, actively identifying areas for improvement.
• Collaborate closely with program and finance teams for effective monitoring and evaluation of subgrantees.
• Ensure the availability and adherence of implementing partners to reporting formats / tools.
• Analyze narrative and financial reports, ensuring compliance with GCA and donors' sub-grant management/reporting procedures.
• Maintain open communication with local partners, fostering their active involvement in the project.


2. Capacity Building and Oversight
• Contribute to the assurance of compliance with contract and donor regulations by subgrantees
• Provide valuable technical support to partners and identify capacity-building needs.
• Ensure the availability and adherence of implementing partners to donor tools and reporting formats.
• Assist project partners in budget tracking and diligently follow up on partnership agreements.
• Contribute essential information to monthly meetings on grant tracking and finances.
• Conduct thorough follow-up visits to sub-offices and local partners

3. Administrative and Support
• Document all sub-grant-related materials on Sharepoint and ERP for centralized accessibility.
• Act as the primary contact for local subgrantees on administrative matters.
• Ensure prompt addressing of inquiries and needs, cultivating positive relationships with subgrantees.
• Maintain organized partner dashboards, contact lists, and other pertinent information.
• Manage various trackers, including those for audit, reporting, reconciliation, and monitoring.
• Establish and uphold a transparent and auditable filing system for subgrantee paperwork.
• Maintain documents and files related to sub-grants management systematically.
• Ensure the systematic and neat storage of all records, files, and supporting documents.
