Location:  New Delhi, India

Our team has a range of expertise in areas including public health, science/engineering, international development, monitoring and evaluation, small-scale and artisanal mining, the lead recycling industry, and more. 

Position Purpose

The position holder will Plan, organize, and supervise the Inventory and fixed assets including asset disposal and logistics service management with the objective of providing required materials to the projects.

The Admin & Finance Officer coordinates, manages, and provides high-level administrative support to Pure Earth’s India leadership to ensure they can efficiently accomplish key tasks and the organization’s initiatives. S/he keeps the executive’s communications organized so that they can easily access the most important information without having to sort through low-priority items. 

To begin with, this will be a part-time position of up to 3 days/week.

Upon completion of satisfactory probation period of 3 months, the position may be made full-time, or continue part-time as organisation deems fit.

Job Description/Responsibilities:

Administrative 

  1. Work with the Programmes Team to manage multiple project-related expenses that reflect programmatic goals and ensure grant funds are effectively utilised against programme deliverables.
  2. Ensure overall project administrative activities for smooth operation and maintaining details of project financial transfers and payments, record of documentation; supporting the preparation of partners/stakeholders contracts and liaising with partners/stakeholders on specific administrative requirements.
  3. Ensure logistical support including disbursing office rent, office supplies, IT systems support,  procurement of goods and services; staff recruitment; arranging training, workshops, meetings and events; contracts development; management and maintenance of project inventory; travel management; etc.
  4. Responsible for other duties from time to time as may be required by the Country Management team. 

Financial 

  1. Responsible for ensuring day-to-day project’s cash needs, transfers, payments, reviewing invoices, checking all bills /vouchers with proper communication of the Finance and Accounts department.
  2. Manage all interactions with banks for maintaining the account(s), project grant transfers and attend audit related queries.
  3. Track project expenditures and prepare accurate financial reports in a timely manner as required by the office.
  4. Coordinate with a tax consultant to prepare and file monthly and annual returns & manage tax and attend other India legal branch office setup queries as needed.
  5. Responsible for internal and external reporting deadlines- preparing donor reports highlighting the financial situation in a timely manner.
  6. Support project leadership team to financial transition to implementation of project activities as per project requirements.
  7. Timely upload of documents and invoices, smoothen bank transactions and possess knowledge of Indian banking systems.

Requirements

  1. Bachelors in Commerce/ Bachelors in Business Administration; Master preferred.
  2. Good academic records
  3. Solid knowledge of office procedures, strong organizational skills with problem-solving attitude
  4. Experience with tracking expenses and maintaining accounts and budgets
  5. Good understanding of administrative, financial and general management principles and skilled in financial reporting, budgeting and taxes.
  6. Willingness to travel to state offices/ project locations when required.
  7. Good command of writing and spoken English
  8. Excellent communication skills, both oral and written
  9. Ability to work under pressure
  1. Proficiency in MS Office (MS Word, Excel) and the use of the Internet

Experience:

At least 4-5 years of experience in the respective field.

Work experience in an international development organization is an asset
