ORGANIZATIONAL CONTEXT

Mozambique, with an estimated population of 31 million people, is classified as a low-income, food-deficit country, ranked 180 out of 188 countries on the Human Development Index. Mozambique is one of the most disaster-prone countries in the world; while the southern and central regions regularly experience droughts, floods occur every two to three years along the major river basins and in poorly drained urban settlements. The regularity of these events perpetuates a cycle of vulnerability and emphasizes the need for adequate disaster preparedness, prevention, and management. Two decades ago, Mozambique was one of the most impoverished and capacity-constrained countries in the world. Over the past decade, Mozambique has ranked amongst the top ten fastest-growing economies in the world, however strong and steady economic growth has not been translated into a proportionate reduction of poverty. 

JOB PURPOSE

WFP Mozambique External Relations unit aims at enhancing public awareness and understanding of WFP’s work in Mozambique. It aims to improve brand recognition through a variety of communication avenues to appeal to as wide an audience as possible. The Unit’s work extends to include WFP’s programme work and partnerships with donors. In this regard, the Unit’s work spreads over a spectrum of tasks which include creating creative content, media engagement, developing stories, and writing and editing external documents. In order to implement the planned activities, WFP seeks the support of an enthusiastic individual to support the External Relations unit of WFP Mozambique.

KEY ACCOUNTABILITIES (not all-inclusive)

Administration

  • Provide secretarial support including scheduling and organizing meetings, preparing briefs and notes for the record, conducting research and monitoring follow-up actions.
  • Monitor the maintenance of records and databases to ensure information is organised and readily available for staff and compliant with all relevant regulations and policies.
  • Assist in planning, monitoring and reconciling budget(s) to ensure that planned financial resources are used effectively.
  • Support the unit with devising travel plans and liaising with administration units.
  • Be the focal point for the procurement of visibility items including creating MicroPurchase Orders (MPO) and liaison with the procurement unit and suppliers as needed.
  • Support the production, dissemination and tracking of WFP and donor visibility materials and maintain an updated inventory of all produced visibility items.
  • Perform other related duties as required.

 

Partnerships

  • Monitor the private partnerships portfolio.
  • Keep donor and partner databases updated.


Salesforce Management

  • Contribute to data entry into Salesforce to maintain an updated database of public and private partnerships and funding opportunities.


Communications and Reporting

  • Support with the creation of factsheets, talking points, speeches, internal newsletters, and meeting briefs.
  • In support of the Communication Officer, maintain a contact list of journalists and media to help the unit maintain regular and appropriate communications when appropriate.
  • Support the preparation of corporate reports as needed.
  • Support the preparation of key corporate reports (Country Briefs, Situation Reports)

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary certificate/ university degree in Political Science, Sociology, Business Administration, Communications or a related field is a plus.

Experience: Five or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.

Knowledge & Skills:

  • Knowledge of computer tools and layout software. Excellent command of Word, Excel, PowerPoint etc. Excellent oral and written skills in English and Portuguese for official communications and correspondence.
  • Organized and able to contribute to knowledge management

Language: Fluency in both written and oral communication in Portuguese and English languages.
