Role objectives |
RESPONSIBILITIES AND ACCOUNTABILITIES 1.Assist the team leader in planning outreach visits to detention centers as well as main urban locations to identify migrants interested in IOM Voluntary Humanitarian Return (VHR) assistance. 2. Coordinate timely issuance of travel documents with all third country embassies based in Libya and neighboring countries of region for all VHR beneficiaries. 3. Support and maintain the IOM online consular services for timely issuance of travel documents for migrants whose embassies/consulates are not present in Libya. This includes also advocating for the usage of the online consular services by embassies. 4. Arrange all administrative needs of the team in coordination with the VHR admin such as preparation of Letter of invitation (LOIs), meeting needs and follow up on staff reimbursements after travel with the VHR admin 5. Maintain and manage all the data files for the unit and coordinate accurate VHR data entry in Mimosa while keeping proper records both online and in files in the office 6. Coordinate with Interview and commercial/ charter teams to expedite the VHR process for the migrants after the issuance of travel documents 7. Coordinate the in issuance of IOM reference numbers on all travel documents received 8. Assist in record keeping and safe storage of travel documents received from embassies. 9. Ensure all travel documents of all no-show cases are returned to the respective embassies for consideration on the next flight. 10. Ensure that daily and work plans activities are planned together with movement table report, weekly report as well as all files related to operational activities are kept up to date. 11. In close coordination with Returns Operations Officer, participate in discussions on procedures and practices to improve the efficiency of the VHR process delivery and 12. In coordination with the Field support team leader, continuously advocate for scale up of the VHR assistance to migrants out of Libya. 13. Provide basic guidance and training to new/junior staff. 14. Perform such other duties as may be assigned |
