Context

This UN assignment is part of IOM’s Country Office in Germany, and based in our sub-office in Kaiserslautern, where IOM is engaged in a humanitarian project, carried out with different partners on the ground.

Task description

Within the delegated authority and under the supervision of Senior Logistics Associate or his/her designated mandated representative(s), the UN Volunteer Logistics Associate will: • Assist in the planning and execution of logistical operations, including procurement, transportation, warehousing, and distribution of goods and supplies. • Coordinate with vendors, suppliers, and service providers to ensure timely delivery of goods and services in accordance with organizational requirements. • Maintain accurate records of inventory levels, deliveries, and outgoing stock movements. • Support in the preparation of logistics-related documentation, including procurement requests, delivery reports, shipping documents, and customs clearance forms. • Assist in monitoring and evaluating ongoing performance of service providers to ensure compliance with contractual agreements and quality standards. • Support in fleet management, transportation and maintenance scheduling tasks. • Drive IOM vehicle(s) as assigned. • Manage the day-to-day maintenance of the assigned vehicle(s) to ensure roadworthiness of the vehicles. This includes daily check of tires, brakes, engine oil, fan belt, etc. • Arrange for minor repairs and ensures that the vehicles are kept clean and ensure that the vehicles undertake regular service intervals. • Keep records of spare parts for vehicle(s) and conduct monthly inventory of the spare parts. • Ensure that the IOM vehicle(s) is used only for official/authorized business, as advised by the supervisor. • Make sure that the daily log sheet is prepared, and a monthly report is prepared summarizing statistics linked to mileage, fuel consumption, etc. for the vehicle. • Keep a high degree of confidentiality and discreteness in discussions, which involves IOM and its officials. Take proper actions to reduce potential security threats to IOM officials and/or property within the immediate vicinity of the vehicle and along transport routes • Any other related tasks as may be required or assigned by the supervisor. Furthermore, UN Volunteers are encouraged to integrate the UN Volunteers programme mandate within their assignment and promote voluntary action through engagement with communities in the course of their work. As such, UN Volunteers should dedicate a part of their working time to some of the following suggested activities: • Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for instance in events that mark International Volunteer Day); • Be acquainted with and build on traditional and/or local forms of volunteerism in the host country; • Provide annual and end of assignment self-reports on UN Volunteer actions, results and opportunities; • Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc.; • Assist with the UNV Buddy Programme for newly-arrived UN Volunteers; • Promote or advise local groups in the use of online volunteering or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible. Results/expected outputs: • As an active IOM team member, efficient, timely, responsive, client-friendly and high-quality support rendered to IOM and its beneficiaries in the accomplishment of her/his functions, including: o Ensure our operational logistics and procurement needs are met in a timely and efficient manner; o Negotiate, coordinate with and identify supplies and vendors; • Age, Gender and Diversity (AGD) perspective is systematically applied, integrated and documented in all activities throughout the assignment. • A final statement of achievements towards volunteerism for peace and development during the assignment, such as reporting on the number of volunteers mobilized, activities participated in and capacities developed.
