DURATION OF THE ASSIGNMENT

11 months (with the possibility of extension subject to performance and resource availability)

OVERVIEW OF THE FUNCTIONS OF THE POST

Under the direct supervision by the Kyiv Desk Liaison Officer, the General Assistant shall contribute to the day-to-day operations of the Kyiv Desk, providing secretarial, operational, and administrative support to its leadership and core personnel.

 

Specifically, the incumbent shall:

  • Provide secretarial support to the Kyiv Desk Liaison Officer
  • Provide general office assistance, receive, register, review and draft correspondence for the Kyiv Desk
  • Provide administrative and logistical support in organizing meetings and missions of core personnel, including travel authorizations, travel arrangements, and other relevant activities
  • Provide support with minor procurement required for day-to-day operations, e.g. office supplies, maintenance services, communications.
  • Draft and assist core personnel in preparing background documents, meeting agendas, invitations, correspondence, minutes, forms, briefing notes, presentations, and other relevant documents in English and Ukrainian
  • Translate documents in the language pairs ENG/UKR and UKR/ENG, assist the Liaison Officer with interpretation
  • Maintain the Kyiv Desk’s contact and correspondence databases
  • Undertake other tasks as deemed relevant by the Kyiv Desk Liaison Officer

Academic qualifications

  • Completed secondary, technical, or vocational education.

 

Experience

  • A minimum of three (3) years of work experience in providing administrative, secretarial or operational support.

 

Skills/competencies

  • Ability to manage information objectively, accurately, and confidentially.
  • Flexibility and adaptability to work schedules and priorities according to workload, emergencies, and deadlines.
  • Ability to design, work and execute tasks independently with thoroughness, care, and method.
  • Ability to work with and within multicultural teams.
  • Excellent interpersonal skills and the ability to work effectively in a team and in a multicultural environment.
  • Very good knowledge of IT skills (Microsoft Word, Excel, PowerPoint, Intranet, Internet, etc.).

 

Languages

  • Very good knowledge (written and spoken) of English.
  • Excellent knowledge (written and spoken) of Ukrainian.
DESIRABLE QUALIFICATIONS
  • Bachelor’s or higher degree in Business or Public Administration
  • Relevant professional experience in UN System or at the international level.
REMUNERATION

The annual starting base salary for this post is 13142 USD, excluding medical and pension coverage (up to 15% from the base salary) and danger allowance. 

The remuneration paid is not exempt from any income tax which may be levied by the tax authorities in the country where work is performed or any other tax authorities.
