Functional Responsibilities
Reporting to the ITG Contract Manager, the intern will amongst other things perform the following functions: 1. Assist in Procurement Processes and Documentation

Assist in the preparation, processing and maintenance of procurement documents, including bids and offers, purchase orders, invoices, and notes to file.

Assist in the preparation of small procurement exercises such as shopping notes and expense reconciliations

Assist in the preparation of reports, solicitation documents, and contracts

Ensure accuracy and completeness of procurement records and documentation.

Assist in systematic filing and management of procurement documents across designated folders and directories, ensuring optimal organization and compliance with audit trail requirements.

Contribute to maintaining an up-to-date database of procurement plans and processes, including tracking progress and status of each procurement exercise from initiation to closure.

Provide assistance in the management of software licenses and maintaining overall compliance by tracking license agreements, online subscriptions, user lists, and renewal dates..

Assist in maintaining an inventory of software licenses and ensuring adherence to licensing agreements.

Provide support and input in the ongoing development of a Software License Management tool.

Conduct market research to identify potential vendors, products, and services relevant to IT procurement needs.

Analyze market trends, pricing, and product offerings to support informed decision-making.

Prepare reports and summaries of research findings to assist in vendor selection and negotiation processes.
Education/Experience/Language requirements
The applicant must be pursuing a university degree such as Bachelor, Masters or Ph.D. (or the equivalent) in Business Administration, Information Technology, or a related field, or have graduated from such studies within three years prior to the application date of the internship.

Experience in procurement is an advantage

Language Requirements

Full working knowledge of English is essential.

Knowledge of another official UNOPS language is an asset.
