Organizational Setting

The main aim of the FAO country offices, which are headed by an FAO Representative, is to assist governments to develop
policies, programmes and projects to achieve food security and to reduce hunger and malnutrition, to help develop the
agricultural, fisheries and forestry sectors, and to use their environmental and natural resources in a sustainable manner.
The position is located in Iran.


Reporting Lines

Under the overall supervision of FAO Representative and the direct supervision of Assistant FAO Representative (Administration), the incumbent will perform the tasks described in Task and Responsibilities Section.


Technical Focus

The incumbent usually interacts with a wide variety of colleagues within the work unit and with immediate clients within the Organization, providing routine finance and administrative support services.


Tasks and Responsibilities

• Processes claims or invoices and other payments requests in line with relevant regulations and instructions;
• Ensures that all supporting documents and information required to justify payment, including receipts, banking details, etc., are complete before releasing payments;
• Settles invoices and claims after verification of supporting documents;
• Retrieves, enters, selects and analyses data from a wide variety of sources, including FAO’s corporate systems and data bases; verifies accuracy of data documents; makes necessary calculations;
• Maintains impress accounts; reconciles expenditures, balances, payments, statements and other data;
• Assists in the preparation of recurring and special reports by preparing and editing data in appropriate format as requested;
• Monitors regular programme and various projects, programme and general office accounts, ensure timely VAT recovery;
• Provides Support to administrative services,
• Acts as the Petty Cash Focal Point, as well as the Inventory and Assets Focal Point
• Assists in preparing FAIRA’s Cash-flow, monitoring expenditures for timely replenishment of local accounts;
• Assists in finalizing the year-end financial closure and in preparing PBR of FAIRA.
• Assists in preparation and maintaining detailed records of budget estimates, obligations and available balances; record receipts and disbursements (ledgers, cash books, vouchers, etc.);
• Prepares routine correspondence of administrative nature; drafts correspondence to verify data, answers queries, and obtains additional information on transactions and financial matters, as required;
• Maintains a filing system of administrative and financial documents;
• Acts as TEC Processor in GRMS and checks travel expense claims, in accordance with the organization’s rules and policies; verifies travel performed against appropriate entitlements;
• Backstops Administrative and IT Specialist when required.
• Acts as Alternate Quality Assurance Officer for Letters of Agreement under the rules of FAO Manual Section 507
• Supports completion of BOS exercise throughout the year
• Performs other related duties as required.

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements

• Secondary Education.
• Minimum 3 years of relevant experience in Administration.
• Working knowledge of English and Persian.
• National of the Islamic Republic of Iran.
