Overview

USAID’s Momentum Country and Global Leadership (MCGL) award is a USAID funded global award, that works in tandem with country governments and local nongovernmental organizations to provide targeted technical and capacity development assistance and contribute to the global technical leadership and policy dialogue on improving measurable outcomes for maternal, reproductive, newborn and child health, and voluntary family planning.  MCGL seeks an Administrative Assistant to provide general office and administrative support to a two-year USAID funded program in East Jerusalem, the East Jerusalem Hospital Network (EJHN).  EJHN comprises six non-profit, charitable hospitals that have a long history of providing services to patients from East Jerusalem, the West Bank and Gaza. The EJHN program will support hospitals within the network to diversify income streams and improve quality of services for patients from the West Bank, Gaza and East Jerusalem. 

Responsibilities

The Administrative Assistant will provide general support for the East Jerusalem Hospital Network Project Office. This includes performing office duties as required. S/he will set up office/program meetings, answer  the phone and track necessary supplies. The Administrative Assistant is expected to be flexible as S/he may be expected to support trainings at the hospitals and provide logistical support for visitors.

Required Qualifications

  • Answer phone in reception area
  • Collect and deliver mail/documents for the office as assigned 
  • Photocopy and bind documents as required
  • Organize office filing, collect newspapers to ensure the office is clean and tidy
  • Assist the Admin & Logistics Officer with receiving and dispatching goods 
  • Replenish paper in all printers/copiers and continue to monitor throughout the work day to ensure office does not run out
  • Ensure efficient supply of purified water in all dispensers, monitor stock throughout the workday
  • Assist in preparation of meetings rooms/areas and ensure they are clean after use
  • Ensure that tea/water/coffee are served during meetings
  • Ensure that equipment (e.g., printer/copiers, ACs) are switched off at the end of work day.
  • Carry out any other duties assigned from time to time.

Preferred Qualifications

  • Minimum high school education
  • Excellent organizational skills
  • Good knowledge of Microsoft office suite of programs
  • Minimum of two years of experience working in an office setting
  • A broad variety of front desk, office maintenance and computer skills
  • Self-motivated and proactive with a positive attitude to work requiring minimum supervision.
  • Cooperative, hardworking, flexible & dependable.
  • Ability to communicate effectively, instilling trust and confidence.
  • Excellent interpersonal and communication skills. 
  • Excellent English language skills both written and spoken
  • Willingness to take on extra responsibilities in order to achieve the goals/objectives set by the organization.
