Job Description

Job Overview/Summary:

The Data clerk will be working in Hasaka Serekanyia camp (3 Days) and Washokanyia camp (2 Days), as needed, entering patient’s demographic data, patients’ visit data and submitting weekly reports, managerially reporting to HIS Officer.


  • Receive the patients and organize the queue.
  • Collect and capture patient demographic information, enter this information into PHC Access database.
  • Arrange PHC Card for the new patients and give them a unique serial number.
  • Ensure the accuracy and validity of entered data.
  • Submit weekly reports timely (EWARS, malnutrition ,benefiters count and any related reports requested by supervisor )
  • Ensure keep the MMU laptop functionality and viruses’ clearance.

Staff Performance Management, Learning & Development

  • Hire, supervise, and build the capacity of team members in relevant technical and management competencies.
  • Develop and implement remote management capacity building approaches to build the strengths the teams’ teams in Syria.
  • Coach, train, supervise and mentor direct-report staff, including communicating clear expectations, setting annual performance objectives, providing regular and timely positive and constructive performance feedback, and providing documented semi-annual performance reviews.
  • Maintain open and professional relations with team members, promoting a strong team spirit and providing oversight and guidance to enable staff to successfully perform in their positions.
  • Approve and manage time, attendance and leave requests to ensure adequate departmental coverage; ensure monthly, accurate timesheet submission and carry out probationary reviews.
  • Hold high-quality meetings with each direct report on a regular and predictable basis, minimally monthly.
  • Provide a measurable development plan including on-the-job learning with the aim of strengthening technical capacity, exchanging knowledge within the team and providing guidance on career paths.
  • As required, identify staff performance issues and work with Human Resources to document and address these in accordance with the National Staff Employment Policies.
  • Maintain open and professional relations with team members, promoting a strong team spirit and providing oversight and guidance to enable staff to successfully perform in their positions.
  • Promote and monitor staff care and well-being. Model healthy work-life balance practices. Support appropriate interventions in response to identified staff care needs of both national and international staff.
  • Look for opportunities to support staff in their career growth, where appropriate. As part of succession plan and nationalization goals, identify, train and develop capability and capacity of national staff to successfully transition role and responsibilities, by the end of assignment.



Part 1: Essential Criteria:


  • University degree or Technical Institute in any related field  

Work Experience:

  • Approximately 2 years’ experience in a similar role
  • Basic working knowledge of English and fluency in writing, reading, speaking, and listening local language.

Skills and Competencies:

  • Excellent knowledge and hands on experience in MS Excel and MS Access desirable and outlook
  • Strong problem solving and analytical skills.
  • Ability to manage multiple tasks in a time-sensitive environment and in meeting deadlines with attention to detail and quality.
  • Demonstrated ability and willingness to take initiative and to be flexible depending on changing priorities and deadlines.
  • Excellent writing and verbal communication skills.
  • Willing to travel to the field sites.
  • Experience of working in medical reporting will be an added.

Part 2: Desirable Criteria:

  • Working experience with International NGOs or similar set-up.
  • Experience of working in medical reporting or will be an added.

  • Curiosity, a desire to continually learn and develop are a must.
  • Analytical ability in creating effective solutions to complex matters while adhering to labor laws and internal policies.


Arabic is required and English is an advantage

Travel: 100% to field sites in 20% as well as attending regional and global workshops and meetings.
