Asset Management Assistant

Tasks and Responsibilities:

Under the supervision of the National Asset Management Officer the incumbent will be tasked with the following duties:

  1. Providing efficient updating and maintenance of all Mission’s assets and supervising the physical inspection of non-expendable assets in cooperation with the other Inventory Clerk.
  2. Reconciliation of OMIK Assets in Oracle Material Management System.
    Responsible for organization and management of the Mission’s inventory records and hand-over documentation and participating in planning and supervision of the physical inspection of assets.
    Responsible for accurate recording and updating of the IRMA Oracle Database covering all information on the issuance and location of assets utilized in the Mission.
    Organizing and maintaining a filing system with all hand over documents for incoming and outgoing equipment, issued and recovered equipment and transfers of equipment between mission members within the OMiK, and ensuring that they are recorded in electronic material management database.
    Maintaining electronic inventory records by assigning assets to Mission members, entering location, serial, manufacturer and model of newly acquired or transferred assets, ensuring transparency, accuracy and consistency of the records and action.
  3. Reconciliating of OSCE Asset Retirement and Creation process in cooperation with the Secretariat Asset Management Unit.
  4. Advising new Mission Members and checking assets for separating Mission Members and report any loss/damage and irregularities to supervisor.
  5. Responsible for submission of the list of the new assets purchased through petty cash, warranty replacements and assets that needs to be created in the system and submit these documents to Asset Management Unit in Secretariat for processing; Processing of Transfer Forms for the assets transferred between the OSCE missions/institutions, initiated by Asset management Unit in Secretariat.
  6. Monitoring the system activities of the Senior Administrative Assistants in Regional Centres/Offices’ and co-ordinating with them to ensure error-free multi-stage inventory system of the OMiK.
  7. Performing spot check of assets during the year in all OMIK locations, if required: Preparing Assets Submission, as well as regular monthly inventory holdings report from OSCE Asset holding locations.
  8. Responsible for the Bar- coding Hardware and software functioning in OMiK, developed and coordinated by ICT and Asset Management Unit of the Secretariat.
  9. Performing other relevant duties as assigned. May be required to drive official vehicles.

Necessary Qualifications:

  • Completed secondary education supplemented with formal training in administration, accounting, office work;
  • Minimum 3 years of office work preferably in commerce, with inventory control experience preferably in international set up;
  • Excellent written and oral communication skills in English and local languages;
  • Holding a valid driving license, B category;
  • Demonstrated gender awareness and sensitivity, and an ability to integrate a gender perspective into tasks and activities;
  • Ability and willingness to work as a member of team, with people of different cultural, and religious backgrounds, different gender, and diverse political views, while maintaining impartiality and objectivity;
  • Computer literate with practical experience using Microsoft applications.

 

Remuneration Package:

Monthly remuneration, subject to social security deductions is 934.58 Euro/month. Social benefits will include participation in the OSCE Group Insurance Plan (Health, Life, Accidental Disability and Temporary Incapacity Insurance) and the OSCE Provident Fund. Appointments are normally made at step 1 of the applicable OSCE salary scale. At the discretion of the appointing authority a higher step may be approved up to a maximum of step 3 subject to specific conditions.
