Overview of position
  • The position is within the liquidation entity, in Bamako.

  • The Warehouse Assistant reports to the Chief of Unit.

  • The Warehouse Assistant at this level assists the Chief of Unit on management of all the property operations of the entity, including supply, receiving & inspection, property control & inventory.

  • The Warehouse Assistant efficiently & effectively assists the Chief of Unit in the management of property, receiving & controlling of UN property in the entity.

Role objectives

Under the direct supervision of the Chief of Unit, the incumbent will undertake the following tasks:

  • Accountable for UNOE & all items in stock and in use.

  • Process the check procedures for staff upon check in & check out request.

  • Supervise the receiving, inspection & issuance of supply items.

  • Prepare & submit CMR's to MOVCON for transfers of materials from one location to another.

  • Prepare cargo in line with convoy schedules.

  • Review approved requests for all commodities & issue them in accordance with approved quantities, appropriate scales of issue, mission priorities & stock availability.

  • All transfers & issues of items are done through UMOJA the organization uses an ERP called UMOJA for the management of its inventory.

  • Supervise the receipt / deliveries of all stock from / to sectors & the accuracy of the delivery against database.

  • Participate in receipt & inspection of items delivered by vendors.

  • Participate in preparation of SOR, SOW & in technical evaluation of bids.

  • Maintain inventory accuracy for stock on hand through the assigned Storekeeper.

  • Coordinate with regional technical units (engineering, transport & CITTS) representative & the RAO's on materials requirements for new, ongoing & planned projects & activities.

  • Coordinate the conduct of cycle counts, bring any noted discrepancies to the attention of the supervisor.

  • Establish & maintain appropriate warehouse facilities for commodities, control all items subject to storage expiration & assist operating a commodity disposal system in accordance with UN regulations.

  • Ensure safe working environment in the warehouses.

  • Collect & collate on a monthly basis all documentation (e.g. delivery slips, R & I reports, invoices, CMRs, etc.) for further processing.

Project reporting

This role will report to the line manager.

Key competencies
  • A minimum of four years of previous experience in supply or material management is required.

  • A minimum of one year of experience in the use of an ERP for management of inventory (e.g. SAP) is desirable.

  • Experience providing services to or in a field operation of the UN common system or a comparable international organization is desirable.

  • Experience in supply chain management or logistics operations during liquidation of a large field operation is desirable.

  • Experience in business intelligence & data analytics / visualization is desirable.

  • Holding a valid license for operating MHE up to &including 15 tons is desirable.

  • For the position advertised, oral & written fluency in English language is required & a working knowledge in French is highly desirable.

  • Knowledge of the regulatory framework governing the disposal of property during liquidation of an operation. Analytical capacity & proven business process management & project development skills. Ability to apply analytical skills in a wide range of statistics on logistics & property management support operations & formulate proposals for corrective actions.
