Background

The vacancy is open only for persons with the citizenship of or permanent residence in the Republic of Serbia.

This is an extra-budgetary part-time (50%) position subject to the availability of funds. The incumbent will receive a Fixed-term Letter of Appointment in the duration of 1 (one) year, which will be subject to satisfactory completion of a 6-month probationary period. A further extension is subject to satisfactory performance and the availability of funds, until the end of the Project (“Supporting a More Effective Administration of Justice in Corruption and Organized Crime Cases in Serbia through Trial Monitoring”, ExB #2400938), currently expected to run until 31 December 2026.

The incumbent is assigned to the Management Section within the OSCE Mission to Serbia’s Rule of Law and Human Rights Department.

Tasks and Responsibilities

Under the supervision of theProject Officer, who acts as Project Manager of the project, the incumbent will provide technical support to project implementation by assessing, synthesizing and co-ordinating preparation of routine elements of the project requiring application of basic principles of project administration. The incumbent serves as a resource to other project staff in project administration matters. Specifically, the incumbent will be responsible for:

  1. Assisting in implementation of project activities by scheduling and arranging meetings, discussion fora, briefings, liaising with counterparts and facilitating their participation. Keeping track of pending administrative matters, on budget and expenditure for specific project activities, forecasting the costs and proposing the budgetary adjustments to supervisor;
  2. Preparing working documents and background material pertaining to issues addressed through project activities, including agendas, concept notes, summaries; putting documents into adequate style, language and format, and proofreading documents and editing texts for accuracy, grammar, punctuation and style in accordance with standard practice;
  3. Using ERP, initiating and following up on actions related to requisitions, purchase of services, payments, travel authorizations and claims and dealing with all relating inquiries;
  4. Undertaking computer-based searches; collating, selecting and interpreting information necessary for implementation of activities and events; assisting in the preparation of papers and presentations by summarizing statistics.

Necessary Qualifications

  • Citizenship of or permanent residence in the Republic of Serbia;
  • Completed secondary education, supplemented by specialized training or formal studies in business administration, project management, social studies, humanities or law;
  • Minimum of four (4) years of relevant working experience in project planning, implementation and reporting, and administration, preferably in an international, governmental or civil society context;
  • Familiarity with key issues related to the rule of law and corruption/organized crime cases in Serbia will be considered an asset;
  • Ability to conduct research and collect information from variety of sources;
  • Digital literacy and proficient use of Microsoft Office (Outlook, Word, Excel and PowerPoint), internet. Experience with an ERP software will be considered an asset;
  • Excellent oral and written communication skills in English and Serbian;
  • Ability and willingness to work with people of different nationalities, cultural and religious backgrounds and diverse political views while maintaining impartiality and objectivity;
  • Demonstrated gender awareness and sensitivity, as well as the ability to integrate a gender perspective into tasks and activities.

Remuneration Package

The incumbent will receive a fixed-term Letter of Appointment in the duration of 1 (one) year, which will be subject to satisfactory completion of a 6-month probationary period, and which will be renewable, subject to satisfactory performance, until the end of the Project. The Project is currently expected to run until 31 December 2026.

Appointments are normally made at Step 1 of the applicable salary scales.

Monthly remuneration, subject to social security deductions, is approx. EUR 752.46. Social benefits will include participation in the Cigna medical insurance scheme and the OSCE Provident Fund.
