The WTO Secretariat is looking to fill a temporary position of HR Assistant. This position is located in the HR Operations Section of the Human Resources Division (HRD). The HR Operations Section ensures the smooth and efficient functioning of HRD such as the HR administration, the payroll and the compliance with the WTO staff rules. It is responsible of managing various HR operational tasks, supporting employee lifecycle processes and implementing HR policies and procedures.

This temporary assignment entails assisting with payroll processing activities, including data entry, payroll reconciliations and payroll compliance. It requires working closely with Finance to ensure accurate and timely payroll processing.

The expected duration of this assignment is 3 months. The selected candidate will ideally start towards the end of July.

General Functions

Reporting to the Payroll Specialist, the incumbent will undertake the following responsibilities:

1. Participation in payroll activities: Participate and support the day-to-day activities of the Payroll function, ensuring accurate and timely processing of payroll transactions.

2. Data management: Assist in data entry and data extraction from Workday (our HR system) to assist on payroll preparation and reporting process.

3. Accounting support: Assist in accounting entries using Oracle (ERP system), ensuring accuracy with financial regulations.

4. Data analysis and reporting: Use Excel to establish tables, create Macros, Pivots and Power points presentation to support payroll analysis and reporting requirements.

5. Customer service: Provide service-oriented assistance to divisions, employees and external stakeholders on various financial and administrative aspects related to payroll processing.

6. Benefits support: support the payroll unit in managing benefits accruals, ensuring accurate recording and reporting of employee benefits.

REQUIRED QUALIFICATIONS

Education:

Completion of secondary education.

Professional Certification in Human Resources (e.g. CIPD, SHRM, PHR) or in Accounting (e.g. ACCA, CPA or equivalent qualifications) is required.

Knowledge and Skills:

Technical Knowledge and Skills

  • Accounting/financial management skills to produce and/or maintain management or accounting documents/reports.

  • Proficiency in Microsoft Excel, including the ability to create Pivots, advanced spreadsheet, and word processing applications.

  • Analytical skills to produce accurate and clear financial reporting.

  • ERP software skills; experience with Oracle EBS / Workday HRIS an advantage.

  • Experience and familiarity with administrative and financial procedures in international organizations or the private sector would be an asset.

  • Familiarity with International Public Sector Accounting Standards (IPSAS) would be a plus.

Behavioural Skills

  • Good organizational skills; strong attention to detail and accuracy; ability to multi-task and meet tight deadlines.

  • Good interpersonal skills; team spirit, dynamism.

  • Excellent communication and interpersonal skills; ability to demonstrate tact, discretion and rigorously respect confidentiality requirements.

Work Experience:

At least 5 years of experience in Payroll administration or related financial role, preferably in international organizations.  

Languages:

  • Proficiency in French and English.

  • Knowledge of Spanish would be an asset.
