1. Investment Advisory Committee Support
Support the provision of substantive secretariat for the Investment Advisory Committee (IAC), including coordination and preparation of meeting agendas, minutes and annual reporting; and as relevant support preparation of information and reports.
Support the secretary of the Investment Advisory Committee for all administrative and logistical matters of the IAC
2. Management Support
Coordination of external forums including but not limited to inter-agency Finance forums and working groups where UNOPS participate and its contribution needs to be coordinated and prepared.
Prepare, review and coordinate management inputs, briefing notes and reports on Finance related matters for inter-agency Finance forums and working groups where UNOPS participates.
Prepare relevant briefings notes and information material for meetings and events, internal meetings with Regions/HQ directors, meetings at UN level, meetings with Member States and others as relevant.
Draft talking points as appropriate on behalf of CFO, DCFO ensuring consistency and alignment of positioning in the various management, governance and external fora, as well as briefing papers and inputs to speeches as requested.
Summarize reports and notes to synthesize insights for senior management decision-making.
Follow up on FG management action items and commitments resulting from meetings and engagements.
Contribute to the FG budget planning and forecasting process. Review and prepare data and relevant documentation, support and advise managers on budgetary matters and elaboration of budget proposal submissions, and collaborate to implement decisions which facilitate optimal resource allocation.
Undertake the role of secretariat for the Finance Senior Stakeholders Meetings including preparing agendas, and documenting minutes.
Establish solid working relationships with senior managers and other key stakeholders.
Develop and manage the FG calendar to provide appropriate overview of events and meetings.
Support the coordination of corporate cross-functional initiatives within FG.
3. Finance Communications
Support the CFO and wider FG leadership team in developing and implementing communication strategies, plans and activities to promote Finance initiatives and FG goals.
Create specific communications action plans, timelines, and defined deliverables that support the communication of internal messages helping FG change initiatives
Prepare external and/or internal communication as guided by the CFO and/or other members of the FG leadership team. Review, analyze and prepare management inputs for FG related matters.
Assist FG leadership in implementing communication strategies aimed at promoting FG initiatives and engaging personnel across the organization by creating specific communications plans, timelines and defined deliverables.
Build and maintain a calendar of Finance communication and engagement activities, campaigns, events and programs.
Keep abreast of developments in the area of internal communication to propose new initiatives for Finance communications or modernize current channels / tools to build a modern communication environment.
Coordinate the CFO/DCFO’s internal messaging (e.g. running orders, speaking points and presentations) for personnel town-halls and other key internal events.
Assist intranet page owners within FG to ensure that the contents of their intranet sites are up-to-date and aligned with FG vision.
4. Logistics Management Services
Provide procurement support such as obtaining quotations, bids or proposals, participating in evaluations, creating purchase orders (POs) and receipts in UNOPS ERP (oneUNOPS). Liaise with the appropriate counterpart expert in procurement for advice, in order to ensure compliance with applicable policies, rules and procedures and the best use of resources.
Ensure timely processing and payments of all office administrative expenditures, liaising with other teams, when necessary, and maintain accurate records of transactions.
Facilitate the preparation of the administrative budget for the Finance Group, and process budget revisions and GLJEs, as and when needed.
Compile data, using UNOPS ERP system, to prepare accurate financial reports to facilitate continuous monitoring of expenditure and ensure alignment with approved budgets and work plans.
Support the monitoring of expenditures for retainers and consultants associated with the Finance Group.
5. Knowledge building and Knowledge Sharing
Organize, facilitate and/or deliver training and learning initiatives for personnel on relevant topics.
Organise induction for new staff members
Provide sound contributions to knowledge networks and communities of practice by synthesizing lessons learnt and dissemination of best practices in Finance
Collect feedback, ideas, and internal knowledge about processes and best practices and utilize productively.
Education/Experience/Language requirements
Education
Master's degree is required.
A bachelor's degree with 2 additional years of relevant experience may be accepted in lieu of a master's degree
Experience
A minimum of 5 years of relevant work experience in roles with transferable responsibilities is required
Experience working in a finance is required
Experience in project management including project planning, stakeholder management, risk analysis, monitoring and evaluation is desirable.
Experience with strategic planning methods and tools is an advantage.
Previous experience working in a global or international organisation is an asset.
Experience working in a developing country, conflict and/or post-conflict environment is an asset.
Language Requirements
Fluency in English is required
Knowledge of another UN language is an asset.
