Job purpose
The Grants Administrator supports the division in fulfilling donor requirements and ensuring that donor interactions are coordinated in a timely manner. Work closely with donor Stewards, project and programme managers to support implementation, compliance and reporting in line with GICHD’s strategy and internal processes.
Key responsibilities
- Contribute to and assist in consolidating and monitoring information for the reporting schedule, ensuring timely input from relevant divisions.
- Support the preparation of donor communication materials, presentations, documentation material and background information ensuring donor visibility.
- Support the coordination and review narrative donor reports, ensuring quality control for smooth preparation and completion.
- Maintain an accurate, up to date understanding of donor requirements, rules, and procedures.
- Monitor grant compliance (including legal and reporting requirements).
- Contribute to, advise and communicate on amendments to grant agreements and change of workplans, in line with agreements’ conditions.
- Monitor the development and maintenance of reporting templates according to donor requirements.
- Support the development and maintenance processes and procedures for robust grant management systems and tools externally and internally.
- Fulfill other tasks assigned by the Fundraising and Donor Partnership Manager and Head of Division.
Qualifications and professional experience
- Bachelor degree, preferably in international relations, development, social sciences, marketing or another relevant subject.
- Minimum three years’ experience with donor procedures and requirements, preferably in an international organizations or NGO.
- Demonstrated ability in providing support with project proposal development as well as donor reporting.
Knowledge, skills and competencies
- Excellent planning and organisational skills to effectively manage priorities.
- Excellent verbal and written communications skills in English, including the ability to produce content for external communication purposes.
- Excellent IT skills, proficiency in Windows and Office environment is expected.
- Competence in the administration of projects funded by international governmental donors, including compliant grant management, narrative and financial reporting, and financial monitoring.
- Ability to consolidate narrative and budgetary material for project proposals and reports.
- Ability and interest to interact with colleagues of diverse cultures, respect for diversity.
- Ability to work as part of a team and to leverage on colleagues’ competencies to reach the objectives.
- Fluency in English, both written and oral; fluency in an any other language spoken in EO-affected countries will be an advantage.
Duration of Assignment
The expected period of employment will be from 1 October 2025 to 30 May 2026.
Salary Information
Please note that the salary level for this role starts at CHF 67'565.- yearly gross, subject to social security deductions and income tax.
