What we do
The International Committee of the Red Cross (ICRC) works worldwide to provide protection and humanitarian assistance to people affected by conflict and armed violence. We take action in response to emergencies and, at the same time, promote respect for international humanitarian law. We are an independent and neutral organization, and our mandate stems essentially from the Geneva Conventions of 1949. We work closely with National Red Cross and Red Crescent Societies and with their International Federation in order to ensure a concerted, rational and rapid humanitarian response to the needs of the victims of armed conflict or any other situation of internal violence. We direct and coordinate the international activities conducted in these situations.

Purpose
The Administrative Assistant oversees all administrative and support tasks in the office including proper management of financial and human resources.

- Head of Unit
Accountabilities & functional responsibilities
- Follow up financial activities within the office, such as monthly and daily cash management/follow-up.
- Handles the general cash disbursement and payments in various currencies, including salaries and working advances.
- Examines physical invoice documentation (incl. back-up) and ensures sufficiency of necessary approvals prior to processing any cash payments.
- Control, monitor, and follow-up on working advance files, and send regular reminders for long overdue working advances.
- Prepares cheques and bank transfer instructions for all approved invoices.
- Participates in cash-flow management, ensuring sufficient liquidity. Handles cash replenishment from money dealers.
- Consolidation and follow-up of complete monthly accounting documents
- Supervises accommodation and office space needs and identifies premises accordingly.
- Supervises and controls expenses and service costs related to premises/maintenance.
- Ensures that premises and equipment are properly maintained and that all utilities work as they should.
- Responsible for maintaining premises as required, as well as ensuring that passive security rules are respected.
- Arrange accommodation based on ICRC standard procedure for the coming visitors.
- Follow up routine schedule activities for the guesthouse to make sure that ICRC standards are respected.
- Supervises the ordering or purchasing of necessary materials and supplies, in coordination with logistics staff, and maintains related stocks.
- Keeps proper files and statistics.
Desired profile and skills
- Strongly motivated by humanitarian work
- Able to work under pressure in a potentially dangerous environment
Certifications / Education required
- University degree in Business Administration and finances. Accounting and Economics
- Additional vocational training in accounting, bookkeeping, or similar fields.
- Very good command of English, spoken and written.
- Expert level in computer skills
- Sound knowledge of accounting software.
Professional experience required
- 1-2 years of experience in finance, accounting, bookkeeping, bank industry, administration or similar position.
- Experience of international organizations an asset.
