The logistics department plays a key role in ensuring logistic performance for the benefit of the programs conducted in the various project countries. The department consists of the European Supply Centre – Amsterdam Procurement Unit (ESC-APU) along with 4 other units. The ESC-APU is responsible for processing the orders from some 26 project countries and delivering a wide assortment of medical and non-medical goods to the projects within the required timeframe. A part of the assortment is strategically held in stock while the rest is procured on an as need basis.

With immediate effect, our Logistics department is looking for a temporary colleague in the Order Team:

Operational Order Officer

Maternity leave cover until end of August 2026 (based in the Netherlands)

As a member of the Order Team, you promote an efficient procurement process of medical and non-medical goods for MSF projects with responsibility for a specific part of the order fulfilment process: from order receipt to the goods delivered to the ESC-APU warehouse(s). This position is within the European Supply Centre - Amsterdam Procurement Unit (ESC-APU) and reports to the ESC-APU Team Lead Order. The Order Team consists of 8 colleagues. 

Main objectives 

You ensure the timely processing of orders for MSF project countries, including all related administration and follow-up. You are the one making sure that these actions are aligned with the import specifications of the countries. Also, you act as focal person for several assigned project countries and suppliers. 

Responsibilities and activities 

Together with your colleagues, you are responsible for an effective and efficient screening, interpretation, and processing of orders from MSF’s project countries in terms of planning and technical/administrative aspects. 

  • You ensure the timely processing of orders from MSF project countries according to country import requirements and lead time.

  • You check and, if needed, enhance the incoming orders to optimise the ensuing logistic process; in terms of planning and by maintaining and improving the quality of data in the ERP system. You find solutions to non-standard situations, using your knowledge of and experience in the ordering process.

  • You are the focal point of assigned project countries and (de)brief Logistical Coordinators and relevant supply staff. You provide advice to and conclude Service Level Agreements with the assigned project countries to ensure an efficient international supply chain.

  • You help to improve and develop standard operating procedures.

  • You deal with a portfolio of suppliers and follow up on their adherence to agreements and supplier guidelines.

  • You are in close contact with the warehouse LSP, to minimise disruptions, and deviations from the intended flow of inbound deliveries, and thereby costs.

  • You coordinate together with the freight forwarder the transportation to the ESC-APU warehouse(s) as and when required by the delivery terms.

  • You ensure a timely and accurate order administration according to policies and procedures within ESC-APU.

  • You manage the country master data for the assigned project countries.

  • You process and/or follow up with complaints assigned to you within agreed time frame

Candidate Profile 

  • We are looking for an enthusiastic, flexible and reliable colleague with an HBO-level education in logistical direction or with comparable experience.

  • You have at least 2 years of working experience in order processing and/or supply chain in high volume (medical and/or non-medical supplies). 

  • You are familiar with automated order processing systems. We currently use Microsoft Dynamics 365, but experience with other ERP systems such as SAP, Navision or Oracle is also considered a plus. 

  • You have strong interpersonal skills and are proficient in English (speech and writing). 

  • You are organized, service-oriented, result driven and have excellent attention to detail, next to a phenomenal teammate with initiative and a pro-active demeanor. 

  • You have experience working in an international setting, a fast-paced environment, know how to multitask and do not shy away from multiple deadlines.

We Offer

This is a temporary role. We offer a contract for 40 hours per week until the end of August 2026. 

A monthly salary with a range between 3,394- and 4,627-euros gross per month. Your exact salary will depend on your relevant work experience.
