The Asylum Services Intake Supervisor brings an understanding of the lived experiences of asylum seekers, including their migratory journey, the barriers they face accessing protection and services, and the duality of migrant agency and structural vulnerability to a critical role that will supervise the provision of integrated resource navigation to recently arrived asylum seekers and other eligible migrants in Washington State.

The position will oversee and support the entire Washington Migrant & Asylum Seeker Support Project (WA MASS Project) front line staff including Asylum Services Intake Coordinators and Asylum Services Navigators, in their implementation of a tailored intake, assessment, emergency triage, and provision of limited direct services for asylum seekers and other eligible migrants. The Asylum Services Supervisor will provide case consultation for escalated cases, support and guide front line response to emergency cases, develop and implement systems for tracking key program tasks and deliverables, and provide ongoing training and guidance to the Asylum Services Coordinators and Navigators. Working with the Senior Asylum Services Manager, the Asylum Services Supervisor will lead a team whose work will inform the development of a humanitarian reception system for asylum seekers in Washington State that is data-drive, protection-centered, and responsive to client needs and interests. 

Major Responsibilities:

•    Oversee the daily activities of the WA MASS Project Newcomer Reception and Navigation Hub’s Intake team. 
•    Onboard, train, and supervise Asylum Services Intake Coordinators in their roles to ensure client-centered approach and adherence with IRC policies including safeguarding and anti-harassment.
•    Provide consultation and triage for uncommon, unusual, or extremely high needs cases or circumstances to escalate to Referrals Team, Sr Manager, Protection and Social Work Officer, or Technical Unit.
•    Support Intake Team to utilize and access appropriate resources, including guiding the further escalation of cases to proper channels, when support and information is needed. 
•    Ensure adherence to standard operating procedures (SOPs) in line with best programmatic and IRC policies and procedures to ensure successful program delivery and safe, supportive environment for clients, staff, and volunteers.
•    Provide consultation and support to the Intake Team as they engage in Data Quality Checks to ensure client PII data is protected, monitored for the purpose of ongoing quality and improvement, and used to support opportunities to improve reception services for asylum seekers as well as ongoing donor reporting as applicable. 
•    Work closely with the Partnerships and Outreach Coordinator to plan, implement, and determine the Intake team’s involvement in outreach and pop-up activities.
•    Maintain full and up to date understanding of the Hub’s Referrals processes and procedures and ensure Intake Team’s client-facing communication is consistent and accurate to changes and developments of the program.  
•    Improve and streamline the Intake Team’s tracking systems and project implementation, providing guidance to Asylum Services Intake Coordinators and making decisions in this process. 
•    Ensure the Intake Team is responding in a timely manner to communications and inquires from external partners. 
•    Report regularly to the Sr. Manager about the progress, needs, and spending of the Intake Team. 
•    Share best practices in humanitarian reception through IRC Communities of Practice and external shelter and asylum networks to contribute to an increase in quality of humanitarian reception throughout WA.
•    Support donor reporting including curation of client testimonials, and contribution to quarterly narrative reports.
•    Comply with all IRC policies, procedures and protocols including adherence to the IRC Way and Child and Adult Safeguarding.
•    Other related duties as assigned.

Job Requirements: 

Education: 
•    Undergraduate degree; graduate degree preferred, ideally in a social work, migration studies, or international related field of study. 


Work Experience: 
•    Five or more years of related professional experience; preferably with a non-profit or social service organization. 
•    At least three years of experience supervising case management or social service teams. 
•    At least two years of experience working with Asylum Seekers. 

Demonstrated Skills and Competencies: 
•    Demonstrated understanding of the U.S. immigration system and stakeholders, particularly the U.S. asylum system; awareness of and commitment to the rights and realities of immigrant communities in the U.S., including through lived experience. 
•    Experience with program management including staff management, program development, and monitoring and evaluation required. 
•    Excellent verbal and written communication skills and the ability to communicate with limited-English speakers in a multi-cultural environment. 
•    Skills associated with mentoring and coaching. 
•    Highly organized self-starter with proven success prioritizing multiple tasks, making critical decisions, and delivering results in a fast-paced environment with tight deadlines. 
•    Strong attention to detail with the ability to prioritize and manage time effectively. 
•    Strategic, creative, problem solver capable of working well independently and as a part of a team. 
•    Advanced technological proficiency. Demonstrated ability to quickly master new systems and client/program management software. 

Language Skills: 
•    Fluency in written and spoken English.
•    Bilingual ability preferred in Spanish, French or Portuguese. 
•    Strong cross-cultural understanding and excellent communication skills, both written and verbal. 

Working Environment: 
•    Must live in Washington State and be available to travel for work.
•    Standard, professional office environment; office and field work, some remote work based on project capacity.
•    Will require occasional weekend and /or evening work.
 

Compensation: (Pay Range: $77,968.80 - $78,866) Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
