Duties and Responsibilities

These internship positions are located in various offices within the Division of Administration at UNOG. The interns will report to the Project Leaders for their selected position. Communication/Transition: Office of the Director (2 positions) The internship offers an opportunity to participate in the day-to-day tasks related to the support and realization of large-scale moves and transition of United Nations staff to renovated and new office spaces, within a large-scale project impacting the workplace and ways of working for United Nations staff. The daily responsibilities may include, but are not limited to: • Produce internal communication products for stakeholders implicated by moves, including brochures, graphic images, videos and other materials, to be published on iSeek, the UN intranet and/or printed for internal distribution. • Produce online content for the UN Geneva internal and external websites. • Assist as needed during move days and settling-in days post-move for different UN entities. • Assist in the development of post-move user feedback surveys and other means of soliciting user feedback, • Assist in tours to office spaces and other stakeholder engagement activities. • Assist in ad-hoc translation of written content from English to French. Programme Management: Office of the Director (2 positions) The intern will support the ongoing work of the Office of the Director, Division of Administration. Duties may include, but are not limited to: • Implementation of projects related to the diverse portfolio of the Office of the Director, including in innovation and change management, process improvement and client engagement, incl. the development of proposals, planning implementation and reporting • Liaison with diverse stakeholders within UNOG, with UNHQ and with partners in international Geneva • Research and analysis to support innovation in administrative service provision and management • Assist in the organization and servicing of events, workshops and meetings, incl. the development of innovative formats, record-keeping and follow-up • Support communication and outreach, incl. design of visual material, presentations and preparing drafts for communication products Communication/Events: Office of the Director (2 positions) The intern will be tasked with supporting the internal communications strategy at the Office of the Director of the Division of Administration, focussing on accessibility issues at the Palais des Nations. Key responsibilities will include: • Creating content about accessibility. • Designing and updating newsletters for staff communication. • Facilitating communication with member states on accessibility issues. • Assisting in the organization of events around disability inclusion. • Performing updates on the intranet. • Developing and implementing new outreach channels Anti-Racism: Division of Administration (1 position) The intern will be tasked with supporting the UNOG Anti-Racism Advocate. Key responsibilities will include: • Assisting the secretary of the Working Group organizing events and in taking notes/drafting minutes of the various meetings held by the Working Group and Geneva Alliance against racism (GAAR). • Assisting in video taking activities for outreach/advocacy activities, working with various teams of social media to monitor statistics and the impact of the outreach activities and reporting to the Chair. • Assisting in drafting internal communications and in the creation of the UNOG webpage in relation to racism and racial discrimination and in adding regular content to it. • Collecting information about the Global South countries to be contacted within the outreach efforts made by the Working Group. • Assisting the chair of the Working Group in the monitoring of the agreed recommendations to fight racism and racial discrimination and serving as the secretary of the Geneva Alliance against racism (GAAR). Information and Communication Technology Service (ICTS) (1 position) The intern will support the Event Support Services team with the introduction of cloud-based Artificial Intelligence tools relevant to Event Support. Tasks will include: • Researching latest developments on Artificial Intelligence Cognitive Services tools already available for use at the United Nations Office at Geneva. • Exploratory work on current event-related use cases for the application of cloud-based Artificial Intelligence tools. • Creating prototypes and minimum viable products to showcase the explored use cases. Financial Resources Management Service (FRMS) (2 Positions) The internship will support the office of the Chief of Financial Resources Management Service (FRMS) and the Programme Planning and Budget Section (PPBS). Duties may include, but are not limited to: • Document and streamline procedures: Develop, draft, and update Standard Operating Procedures (SOPs) for key PPBS and FRMS processes, including budget monitoring, post occupancy management, and the preparation of budget projections, ensuring clarity, consistency, and compliance with UN financial policies. • Enhance knowledge management and communication tools: Maintain and update the FRMS page on iSeek to ensure content is accurate, user-friendly, and client-focused, strengthening transparency and engagement with stakeholders. • Improve process documentation: Map existing workflows, identify areas for improvement, and develop user-friendly tools such as process guides, FAQs, and visual flowcharts. • Design organizational materials: Create and maintain an updated FRMS organigram featuring staff photos and reporting lines to support internal clarity and visibility. • Support budget analysis and review: Assist with ad-hoc budget analyses across various areas of budget administration and contribute to the consolidation and review of budget proposals, reports, and memos. • Contribute to cost recovery research: Support the detailed review of pricing for services established by subprogrammes under the cost recovery mechanism and assist in analyzing related financial data. • Support information and resource management: Consolidate and organize financial documentation, assist in preparing internal presentations, and contribute to research on the evolution of the Division’s core mandates and related funding. Qualifications/special skills

To qualify for an internship with the United Nations, applicants must meet one of the following requirements: (a) be enrolled in, or have completed, a graduate school programme (second university degree or equivalent, or higher); (b) be enrolled in, or have completed, the final academic year of a first university degree programme (minimum bachelor's level or equivalent). Interested candidates must be pursuing or must have pursued their degree in Administration, Business, International Relations or another field related to this Job Opening including Communications, Public Relations, Architecture/Design, Social Sciences, information technology. Experience or studies in Racism and/or Discrimination issues is an asset. Experience in Environmental Affairs or sustainability is an asset. Experience in Graphic Design and Videography is an Asset Applicants must also have: • Strong written and verbal communication skills. • Ability to work independently and as part of a team. • Good organizational skills and attention to detail. • Proficiency in using digital communication tools and platforms. • Computer literacy – command of standard applications including MS Suite (Word, Excel and PowerPoint). • Data analysis and reporting. Drafting, editing and proof reading. • Keen interest in the work of the United Nations and a personal commitment to the ideals of the Charter. • ability to successfully interact with individuals of different cultural backgrounds and beliefs, which include willingness to try and understand and be tolerant of differing opinions and views. • Applicants for the ICTS internship must have: good knowledge on consuming either Azure Cognitive Services or Amazon Web Services AI services and development skills, particularly to consume Azure Cognitive Services or Amazon Web Services AI services in any development environment (please specify). Applicants to the UN Internship programme are not required to have professional work experience. However, a field of study that is closely related to the type of internship that you are applying for is required Applicants must be a student in the final year of the first university degree (Bachelor or equivalent), Master's or Ph.D. Programme or equivalent, or have completed a Bachelor's, Master's or Ph.D. Programme. Languages

English and French are the working languages of the United Nations Secretariat. For the internship advertised, fluency in English is required. Knowledge of an additional United Nations official language is an asset (Arabic, Chinese, English, French, Russian and Spanish).
