THE ROLE

To support effective delivery of finance, budget and administration support services in order to facilitate transparent and efficient utilization of financial resources.

KEY ACCOUNTABILITIES (not all-inclusive, nor exhaustive):

1.    Assist in providing the procedural and technical support to staff within the areas of finance and administration, to ensure compliance with WFP financial policies, rules and regulations. 
2.    Prepare and monitor monthly expenditure forecasts and provide expenditure reports in order to facilitate supports operations.  
3.    Process operational advances and handle daily payments, reimbursements and replenishment ensuring compliance with WFP Financial rules and regulations. 
4.    Validate daily cash vouchers and record in the general ledger alongside the complete supporting documents for timely liquidation and settlement.
5.    Monitor the sub-imprest bank and petty cash accounts regularly, to ensure that adequate funds are available and appropriately disbursed. 
6.    Maintain the web-based register for all invoices and payment transfers and record paperwork, to ensure that all documents are maintained and filed.
7.    Verify vendor claims, advances and other receivables and observe appropriate procurement procedures, to ensure that suppliers are paid in a timely manner and manage ITS submissions. 
8.    Perform administrative duties related to the monitoring and recording of fixed assets, spend on fuel and spare parts for vehicles and generators, to ensure that the databases are accurately updated. 
9.    Verify the accuracy of staff travel entries and ensure supporting documents are submitted for PRFI postings. 

10.    Arrange for dailay vehicle assignments and perform monthly adminstrative closure and fuel consumption reports. 
11.    Oversee facility management and maintanence including administrative supports for agencies in the premises, liaise with security company and facilitate document dispatch. 
12.    Manage office inventory and conduct regular physical counts in coordination with the country office. 
13.    Support HR by compile data for staff entilements such as danger pay. 
14.    Other duties as assigned.
 

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE:  

  • Has experience collecting and monitoring financial data on projects and programmes, assessing financial health and status, and reporting findings to senior leaders.  

  • Has demonstrated understanding of WFP Management Services regulations, policies, procedures, processes, standards, and systems.  

  • Has experience in collating data and preparing basic analysis pertaining to Management Services portfolio such as management of assets, facilities, fleet, travel, or similar areas.  

  • Has experience working with teams across different functional areas.  

QUALIFICATIONS AND EXPERIENCE:


Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.

Experience: Five or more years of progressively responsible work experience in the relevant business stream with experience in general administrative work.

Language: Fluency in both oral and written communication in Myanmar and English.
