Since 2000, WFP has relied on the SAP ERP platform to manage core functions—finance, logistics, budgeting, and HR—supporting staff globally from Country Offices to Headquarters in Rome. The ERP system ensures consistent functionality and efficiency.
The ERP Development Team within the Technology Division maintains and evolves WFP’s ERP solutions to meet changing business needs. As part of WFP’s IT Strategy and Digitalization Program, a major upgrade is underway to transition from SAP ECC 6.0 EHP 8 to SAP S/4HANA on RISE via a Brownfield approach, aiming for full deployment by summer 2026. This initiative will enhance process effectiveness, efficiency, and compliance.
Reporting to the Head of ERP Development, the SAP Supply Chain and Procurement Business Analyst will play a key role in shaping the platform’s evolution. Collaborating across departments, the analyst will deliver tailored ERP solutions, support the S/4HANA upgrade, and ensure alignment between technology and WFP’s mission and operational goals.

ACCOUNTABILITIES/RESPONSIBILITIES:

The incumbent will be responsible for the following specific tasks: 

Business Analyst on SAP Upgrade to S/4HANA on RISE

Collaborate on the migration (brownfield approach) of the current WINGS platform from SAP ECC 6.0 to SAP S/4HANA for the Supply Chain area (SAP MM and SD modules), with relevance to the procurement business process, ensuring business continuity while optimizing existing processes for S/4HANA readiness. The analyst will Oversight activities executed by the WFP business partner, assess functional impacts, validate migrated configurations, and support remediation of any process or technical gaps post-conversion.

The Business Analyst will focus on ensuring a seamless transition of the Procurement and supply chain processes, including UNHRD, Fittest and insurance ones, and related financial and budgeting integrations.

Key responsibilities:

  • Works with the business partner analysing the existing SAP Procurement and Supply chain configuration, interfaces, workflows, and custom developments with a particular attention to Delegation of Authority policies.
  • Participate in readiness and compatibility checks (e.g., Simplification List, Custom Code Analysis).
  • Identify potential functional impacts and dependencies for the S/4HANA conversion.
  • Act as primary liaison between their project team and the business functions impacted by procurement and Supply chain changes, ensuring that all the procurement and Supply chain functions and requirements are fully reflected and validated during the S/4HANA migration
  • Collaborate closely with business process counterparts to ensure that existing procurement and supply chain policies, including Delegation of Authority (DOA),are accurately migrated and fully supported within the S/4HANA environment.
  • Translate mandatory System and functional changes into clear, business understandable impacts.
  • Support Decision-making providing impact assessment, options and Recommendations
  • Work with the Key Business users during the review of the UAT test cases and during the UAT sessions ensuring test coverage across the Procurement and Supply chain scenarios and critical flows including UNHRD, FITTEST, Insurance and aviation.
  • Collaborate with all stakeholders to prepare and deliver tailor training sessions.
  • Work closely with the technical team in planning the conversion sequence for the procurement and supply Chain related functionalities (SAP MM and SD modules)
  • Contribute to defining cutover strategy and downtime planning for procurement and Supply Chain-related data and transactions.
  • Review master data consistency and support cleansing activities.
  • Execute functional validation in S/4HANA environment post-upgrade.
  • Verify end-to-end process integrity.
  • Identify and document conversion-related issues and coordinate resolution with technical and basis teams.
  • Conduct regression testing for key business scenarios.
  • Recommend optimization opportunities leveraging S/4HANA functionalities
  • Contribute to the cutover execution and validation of Procurement and Supply Chain-related data migration.
  • Provide go-live and hyper care support for end users.
  • Document lessons learned and contributed to stabilization reports

Business Analyst and Project Manager on Strategic Initiatives

  • The incumbent will leverage his/her deep expertise in procurement, supply chain and logistic functionalities (MM, SD) and related business processes to design IT solutions that align with user needs. This includes identifying opportunities for innovation, integration, and system evolution across relevant IT systems and tools.
  • Proactively engage with TEC and business stakeholders to propose and prioritize process enhancements aimed at improving procurement and Supply chain processes digital technologies.
  • Lead strategic initiatives that may be implemented during the assignment period
  • Facilitate clear communication of business objectives, user needs, and operational processes to ensure shared understanding and effective prioritization among stakeholders, while promoting timely information exchange across internal and external parties.

 Key Responsibilities

  • Collaborate with TEC and business stakeholders to propose and prioritize digital process improvements.
  • Ensure shared understanding of business goals, user needs, and process priorities across internal and external parties.
  • Collaborate to present roadmap for endorsement by the TEC Demand Assessment Board (DAB).
  • Gather and validate requirements.
  • Maintain a transparent and prioritized backlog of enhancements.
  • Coordinate with stakeholders and delivery teams to ensure clarity and feasibility of requirements.
  • Provide guidance on feature prioritization and release planning.
  • Monitor delivery progress and ensure alignment with business objectives.
  • Facilitate regular reviews and demonstrations of product increments.
  • Promote iterative development and continuous improvement.
  • Prepare cost estimates in collaboration with IT Solution Architects.
  • Track consumption of time-and-materials quotas.
  • Guide vendors on reporting and invoicing procedures.
  • Approve consumption reports and coordinate Service Entry Sheets.
  • Collaborate with TEC for Sourcing on Purchase Orders.
  • Report progress to the Project Management Office.
  • Escalate risks or issues affecting outcomes, timelines, or budget.
  • Other duties as required.

DELIVERABLES AT THE END OF THE CONTRACT:

As SAP Business Analyst on SAP S/4HANA Upgrade: Deliverables to Be Reviewed and Supported by the Business Analyst

  • The incumbent is responsible for overseeing and validating all aspects of the procurement and supply chain transition to S/4HANA, ensuring functional accuracy, testing integrity, business alignment, and successful implementation through collaboration with the partner and support of post-go-live activities.
  • Ensure that all documentation, covering requirements, decisions, plans, and project progress, is consistently updated, stored in the designated repository, and accessible to relevant stakeholders.

As SAP Business Analyst on Other initiatives:

  • Ensure comprehensive documentation for all assigned projects, covering project overview, milestones, timelines, budget, risks, and issues.
  • Maintain clear and complete records of business requirements and functional specifications.
  • Keep technical and non-technical documentation up to date, including release processes and related materials.
  • Provide regular communications and status updates to project teams and business stakeholders to ensure alignment and transparency.
  • Contribution to improvement of shared processes and tools.

QUALIFICATIONS & EXPERIENCE REQUIRED:

Education: University degree in business administration, information technology, or other related fields.

Experience: Minimum 5 years post graduate, progressively responsible professional experience as Business Analyst within an organization and proven record of accomplishment in development and implementation of IT applications.    

Knowledge & Skills: Deep knowledge of SAP Supply Chain modules, specifically Materials Management (MM) and Sales and Distribution (SD), with a strong focus on the procurement module and its associated approval workflows. Good understanding of SAP Solution Manager and related Change Request Management (Charm) processes is desirable.  Proven experience across the full IT solution lifecycle—requirements gathering, design, development, and implementation. Strong business analysis skills with a focus on clear, actionable requirements

Expertise in product and project management practices, including backlog management, strategic planning. Skilled in adapting and tailoring project methodologies to align with specific project requirements.

Demonstrates the ability to influence and collaborate across functional teams within matrixed environments. Experienced in coordinating and managing complex projects involving multiple vendors and delivery partners, ensuring alignment with strategic objectives and successful outcomes.

Languages: Fluency in oral and written English with an intermediate knowledge of another official UN language (Arabic, Chinese, French, Russian and Spanish) or Portuguese (one of WFP’s working languages) is desirable.
