Danish Refugee Council, one of the world’s leading humanitarian NGOs, is currently looking for a highly qualified Support Service Intern (Admin and Finance).
About the job
This role has an area of focus and the Intern is responsible for performing specific Finance and Admin functions. Working closely with the HR/Admin and Finance Team Leaders.
Your main duties and responsibilities will be:
Administration:
- Assist administrative functions internally and externally - suppliers, hotels, etc.
- Assist security clearances in liaison with area safety team – as required.
- Assist that DRC office equipment (power, telephone, water etc) and are in good condition including necessary repairs and maintenance.
- Managing DRC Baidoa Guest house works
- Assist processing and payments of monthly utilities for both office and guesthouse including assist in updating the monthly invoice tracking sheets on regular basis.
- Establish and maintain mail recording and filing system including proper labelling.
- Organize and provide support to workshops and meetings and act as an alternate secretary for meeting.
- Assist issuing DRC ID cards and insurance cards to new employees.
- Raise PR (Purchase Requisition) and Cash Advance on DRC Dynamics – as required.
- Keep all lease agreements and other frame documents.
- Assist with the completion of necessary reports or compilation of HR/Administration information as requested.
Finance:
A. Financial Documentation and Archiving
- Receipt and Review: Receive, record, and stamp all paid financial documents (invoices, receipts, payment vouchers) ensuring they are complete and duly authorized.
- Filing System: Maintain a sequential, accurate, and secure physical and electronic filing system for all financial records.
- Scanning and Uploading: Scan financial documents daily and upload them to the appropriate digital platforms (e.g., DRC Dynamics/SharePoint) in a timely manner.
- Audit Support: Retrieve and organize financial documents as required for internal and external audits.
B. Cash and Banking Management
- Petty Cash: Assist in managing the petty cash float, ensuring adequate amounts are available for small expenditures, and recording daily transactions.
- Cash Counts: Conduct daily and monthly cash counts, submitting the signed count sheets to the supervisor for reconciliation.
- Payments: Assist in the preparation of payment requests, checks/transfers, and ensure all payments are processed and receipts are properly documented and signed by the recipients.
- Follow-up: Assist in following up with the bank on fund receipts and transfers.
C. Accounting Support
- Data Entry: Support the Finance Officer in updating the cash book, commitment lists, and project journals, ensuring all financial obligations are entered into the accounting system (DRC Dynamics) accurately and promptly.
- Expense Claims: Assist in reviewing and verifying staff expense claims and advances to ensure compliance with DRC policies.
- Reconciliation: Support the preparation of weekly and monthly cash and bank reconciliations.
- Statutory Deductions: Assist in ensuring that statutory deductions (e.g., taxes) are accurately calculated and paid to the relevant authorities on time

About you
To be successful in this role we expect you to have:
- University degree in Business Administration /Public Administration or Finance/Accounting or Commerce.
- Good skills MS Word, Excel, Outlook, Power point
- Basic knowledge of procurement principles
- Good interpersonal and team skills
- Commitment to humanitarian principles and values
- Commitment to and understanding of DRC’s aims, values and principles
- Languages: Proficiency in written & spoken English and Somali

We offer
Contract length: 4 months with the possibility of extension, subject to funding and performance.

Salary and conditions will be in accordance with Danish Refugee Council’s Terms of Employment for
employees on national contract.
